The Marbridge Foundation, located in Manchaca, Texas, is currently looking for a Volunteer Coordinator to join our team. Marbridge prides itself on providing a fun, compassionate, and mission-focused work environment for our employees while creating numerous opportunities for our residents to achieve a whole new life. Our residents lead busy lives, participating in any of our 150 classes offered on-site at our 200-acre campus. This position is responsible for overseeing the Marbridge Volunteer Program through recruiting, training, placing, scheduling, and collaborating to ensure resident needs are met. The Volunteer Coordinator must ensure that all volunteers are properly trained and that they are aware of the policies and procedures of the organization. Along with other members of the Development Team, this position is also responsible for fundraising as appropriate, relationship building, cultivation, and growth of the volunteer and donor base.

Hours:

Hours are Monday – Friday 8:00am – 4:00pm. This Full-time position involves both on and off-site responsibilities. Requires ability to work a flexible schedule as weekend and afterhours events, orientations, and meetings will occur.

Essential Duties & Responsibilities:

  • Recruitment
  • Source and recruit volunteers using various techniques to meet demand within the organization.
  • Invite/recruit attendees for tours, JAM Sessions (on- and off-campus), and other engagement opportunities.
  • Submit an annual recruitment and retention plan, a strategic operational plan to set goals with attainable objectives and timelines.
  • Remain up to date with current trends in volunteerism to adjust the program as needed to be successful.
  • Timely response to all requests, emails, and correspondence.
  • A minimum of twice annually, work with coordinators and directors to assess the organization’s volunteer needs and opportunities. Create/Update forms and procedures that will allow this position, along with coordinators and directors, to create volunteer position descriptions for all opportunities and are available on the volunteer portal with the following guidelines:
  • Department, program, or service requesting volunteer support.
  • Description of duties and responsibilities.
  • Minimum qualifications (i.e. skills, experience, etc.).
  • Expected time commitments and volunteering hours.
  • Orientation of Volunteers
  • Develop and implement orientation for all new volunteers offering flexible orientation schedule (i.e. including one evening per week and occasional weekends).
  • Ensure that volunteers understand and adhere to: Marbridge’s history, mission, guiding principles, policies, procedures, requirements, standards of conduct, confidentiality, and more.
  • Review HIPPA, anti-harassment policy, grievance procedures, and EEOC policy.
  • Re-orient volunteers once every two years or after an extended (1 year ) break from volunteering.
  • Annually solicit feedback from volunteers regarding: orientation, volunteer jobs, communication, support from the department/community in which they volunteer, areas of improvement, areas of success.
  • Volunteer Engagement and Retention
  • Ensure positive volunteer engagement, experience, and retention by collaborating with the departments/communities to provide feedback and adjust as needed.
  • Identify and implement new and innovative strategies to enhance volunteer engagement as laid out in the annual Volunteer Recruitment and Retention plan.
  • Complete background checks in a timely manner (not to exceed 5 working days post receipt of application).
  • Assign volunteers in a timely manner (not to exceed 5 working days after completion of background check).
  • Contact new volunteers within first week of service to determine their level of satisfaction with their assignment, and, if necessary, reassign.
  • Solicit feedback quarterly from campus about the quality of volunteer services and reassign or terminate volunteers as necessary.
  • Communicate timely and appropriately with volunteers, prospective volunteers, colleagues, vendors, etc.
  • Ensure that all activities of the volunteer programs meet the policies established by the organization.
  • Develop and integrate on-going quality assurance monitoring systems to review all major components of the volunteer program.
  • Recognition and Appreciation:
  • Plan and manage annual Volunteer Appreciation Event – logistics, venue, vendors, sponsors, donors, attendees, solicit door prizes, food, and beverage.
  • Coordinate with employees to nominate volunteer award recipients.
  • Recognition of outstanding efforts made by an individual or group volunteer when appropriate in the form of a card or small gift. The scope and substance must coincide with budgetary considerations.
  • Volunteer Database
  • Be the expert in the information and accuracy of the volunteer portal and donor database.
  • Complete annual background checks and driving record checks.
  • Prepare volunteer reports for Board of Trustees.
  • Giving Tree
  • Design, implement, and manage Giving Tree Program annually.
  • Work with communities to determine resident participation and needs.
  • Work with other development team members to facilitate online system.
  • Coordinate “Elves” for present intake, logging, and distribution.
  • Coordinate with communities to deliver presents.
  • Other Development Responsibilities
  • Main leader and staff liaison for Marbridge’s young professionals group.
  • Make public appearances/accept speaking engagements to share information about Marbridge with the communities we serve.
  • Work closely with the development team to bridge the gap between donors and volunteers using a moves management system.
  • Provide volunteer data as needed for grant proposals.
  • Work with annual CoACT Symposium committee to assist with the entirety of the event.
  • Assist and work all development events.
  • Represent the volunteer program at fundraising related conferences/seminars as needed.
  • Design and write monthly volunteer eNewsletter and contribute stories and content for bi-weekly eNewsletter and printed magazine.
  • Work with the Director of Communication and Development for strategic development of accurate and updated volunteer materials.

EDUCATION, EXPERIENCE & SKILLS REQUIRED:

  • Bachelor’s degree in a related field (i.e. volunteer management, therapeutic recreation, business administration, social services, etc.) or equivalent combination of education and experience.
  • A minimum of two years' experience in volunteer management – coordinating, recruiting, development, and retention of volunteers.
  • In order to be an approved driver – at least 21 years of age, valid Texas Driver’s License, and acceptable driving record. Also, comfortable driving maxi-vans, mini-vans, and shuttles both on- and off-campus.
  • Must be proficient in Microsoft Office Suite, Outlook365, creating donor eNewsletters and evites, Google Workspace, working in live documents, and a CRM and/or donor/volunteer base.
  • Demonstrated accuracy in record and budget keeping.
  • Prefer experience in volunteer management or fundraising for a special-needs population, healthcare, human services, or a related field.
  • Prefer experience and/or training in fundraising, finance, journalism, public speaking, special education, editing, and/or special event planning.
  • Prefer knowledge of Bloomerang donor database.
  • Prefer experience with individuals with intellectual and developmental disabilities.
  • Must have excellent interpersonal communication skills to enable relationship development for volunteer management, and mission driver communication. Communication skills include: creativity, verbal, written, presentation, facilitation, and negotiation.
  • A quintessential team player with a willingness to support colleagues outside of one’s primary responsibilities.
  • Ability to forge productive working relationships with people at all levels within Marbridge and the diverse communities we serve.
  • Ability to seek and receive guidance as needed.
  • Follow policies and procedures including requesting time off, off-site work time, HIPPA, confidentiality agreement, and documentation.
  • Attention to detail, critical thinking skills, sense of humor, and self-motivated is a must.
  • Knowledge of volunteer policies and procedures and applicable.

PHYSICAL REQUIREMENTS / DEMANDS: Primarily functions in an office setting but must be able to work in various conditions as needed (including frequently outdoors during all seasons). Requires frequent movement about campus including standing and walking for extended periods of time. Must be able to lift up to 50 lbs. Normal range of vision and hearing required.
