Position Summary:
The Receptionist/Administrative Assistant will serve as the first point of contact for clients and visitors while providing essential administrative support to ensure the smooth operation of the office. This role requires excellent communication skills, strong organizational abilities, and a commitment to delivering exceptional service.
Key Responsibilities:
- Front Desk Management: Greet visitors, clients, and staff in a professional and friendly manner. Answer and direct phone calls, emails, and inquiries.
- Office Coordination: Maintain a clean and organized reception area and showroom. Manage incoming and outgoing mail and packages. Order office supplies and maintain inventory.
- Administrative Support: Assist with scheduling appointments, meetings, and maintaining calendars. Prepare documents, reports, and presentations as needed.
- Data Entry & Filing: Ensure accurate record-keeping, filing, and data entry for various office tasks.
- Team Collaboration: Provide support to team members and management as required, including handling ad-hoc administrative tasks.
- Customer Relations: Serve as a liaison between clients and the team, ensuring a positive experience.
Qualifications:
- Education: High school diploma or equivalent (required).
- Experience: 2–5 years of experience in a receptionist or administrative assistant role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and use of Apple computers. Use of a CRM and Dropbox is an asset. Familiarity with office equipment (printers, scanners, phone systems).
- Communication: Excellent verbal and written communication skills.
- Organizational Skills: Strong attention to detail and ability to manage multiple tasks simultaneously.
- Professionalism: Demonstrated ability to handle confidential information with discretion and professionalism.
