Seeking Investment Staffing Coordinator (Admin) for a contract assignment in Boston, MA.
Location: Onsite in Boston, MA 4 days/week (Mon – Thur)
Duration: 4 months (maternity leave coverage), potential to extend
Basic Purpose
The Investment Staffing Coordinator is a member of the investment team, with specific responsibilities helping with the staffing and hiring process as well as internal and external events. The Investment Staffing Coordinator acts as a liaison between internal investment professionals, administrators and external candidates, vendors or event coordinators. The coordinator will assist with details and logistics of external and internal meeting and recruiting events to including correspondence, attendee lists, schedules, room reservation and more.

The coordinator will assist with details and logistics of external and internal meeting and recruiting events to including correspondence, attendee lists, schedules, room reservation and more.
Principal Responsibilities
- Coordinate logistics for potential candidates to include
- Candidate outreach, correspondence and confirmation.
- Scheduling of candidate interviews in person and by video globally.
- Domestic and international travel arrangements.
- Guest travel authorization and reimbursement.
- Collecting and tracking candidate feedback.
- Assist with updating position tracking reports of current candidates and status.
- Coordinate logistics for recruiting related events to include:
- Vendor communication and point of contact.
- Scheduling event details; catering, booking venues, invites, attendee lists, marketing and payment.
- Communication of event to candidate pool via various external outlets.
- Assists with new hire logistics to include initiating background checks, on-boarding, welcome and set-up.
- Helps to support the investment team's diversity initiative by supporting the recruiting activities.
- Assists in specialized projects, which require knowledge and understanding of department operations.
- Consistently meet tight deadlines in a fast-paced environment.
- Update and maintain multiple spreadsheets, databases, and information logs.
- Accept and assume additional duties as needed and requested.
- Bachelor's degree or equivalent education.
- Minimum of 3 years' experience in administration, recruitment, coordination or HR/staffing role.
- Demonstrated organization and time management skills with proven ability to effectively manage multiple priorities and meet deadlines in a high-volume environment.
- Must be detail oriented with strong follow through and execution.
- Interpersonal skills required to interact professionally with all levels of management of internal and external clients.
- Strong organizational, oral and written communication skills required to coordinate and manage event and conference logistics.
- Must be self-motivated, service-oriented, and able to handle multiple projects simultaneously under tight deadlines, work independently and be a team player.
- Proficiency with MS Office.
