The Will Call Coordinator manages the branch functions relating to Will Calls, picking of orders, reviewing and maintaining accurate order status, and the organization of the Will Call area. This role is charged with the on-time and accurate retrieval of orders in accordance with the company's customer value proposition.
What will you be doing?
- Manage the warehouse in-process status on a daily basis. This includes assigning and prioritizing orders, assigning procured orders for staging, and handling queued order writers for status.
- Check out customers and verify their equipment, double checks orders, and correct and sign for any mistakes before it leaves the building.
- Stage procurements for items as needed.
- Call customers with open orders on Will Call queue daily – set up follow-up dates for calls, log updates, and request cancellations as needed.
- Handle Will Call queues for Non-RF Issues.
- Verify that Warehouse in-Process Queue is managed each day. Notify assigned manager of any issues, pick queues.
- Bi-weekly audit orders in Will Call areas with warehouse in-process.
- Bi-weekly match up invoice preview queue and will call queue and resolve discrepancies.
- Request cancellation of tickets as needed.
- Courteously and promptly answer phones as needed.
- Maintain barcode printers by checking and replacing labels and film daily, maintain stock of labels and film and orders as needed in a timely manner.
- Daily review Will Call queue in follow-up mode. Queue on any ship tickets that have been printed.
- Responsible for general warehouse work as directed, including working in any and all departments within the warehouse relating to freight either incoming or outgoing.
- Accurately fill sales orders or transfers for product and distribute items to shipping or Will Call.
- Support the Customer Value Proposition by filling Will Call orders within 1 hour of ordering.
- Adequately assist shipping, receiving, transfers, unloading trucks, checking in merchandise, matching purchase orders to sales orders and distributing to counter staff for processing.
- Efficiently move materials and items from receiving or transfer areas to shipping areas or stock locations as designated.
- Accurately sort and place product on racks, shelves, or in bins according to predetermined sequence such as size, type, style, color, or product code.
- Accurately mark product or orders with identifying information using appropriate method.
- Adequately assist in counting of physical inventory.
- Responsible for accuracy and efficiency in the handling of merchandise.
About You:
- High school diploma or equivalent.
- 3 or more years’ experience with office, warehouse, and related functions.
- Demonstrated knowledge of MS Office suite applications (Word, Excel, PowerPoint, Outlook).
- Aptitude for mathematical operations and numerical analysis.
- Use computers, photocopiers, scanners, phone systems and meeting and virtual platform sharing relative to the needs of the job.
- HVAC knowledge preferred, willing to train.
