The Operations Administrator is responsible for administrative support to the Operations team and for providing assistance with documenting operational processes, documenting procedures and audits, fleet administration, safety committee meeting support, OSHA incident logging, and data entry for BU measures.
This position can work hybrid in many of our branch offices in the Illinois area with the exception of New Lenox.

What will you be doing?
- Reviews and audits operational data for all business units to identify gaps and ensure accuracy.
- Audits fleet and MHE at each location periodically to maintain accuracy.
- Tracks, maintains, and distributes fleet administrative items (Insurance cards, WEX cards, iPass transponders, etc..)
- Collaborate with fleet vendors as needed.
- Assist Transportation Manager with administrative tasks.
- Provide support to maintain company vehicle fleet list.
- Provide and track communication from fleet vendors to drivers.
- Maintain list of MHE (Material Handling Equipment) for company.
- Collaborates with Marketing for current and new vehicle wrapping needs.
- Tracks and documents movement of all fleet and MHE assets within the company.
- Maintains list of current and new BU locations and contact information.
- Reviews and stays familiar with Phocus and all BI systems related to operational measures.
- Documents and distributes meeting minutes.
- Generates and maintains all safety maps for all locations.
- Develops and presents annual TIR analytics for company and each BU.
- Logs safety incidents and sends individual incident safety alerts.
- Maintains OSHA 300 log and distributes 300A logs annually.
- Travel to branches as directed.
Preferred Job Requirements
- 5 or more years’ experience with office, operations, branch related functions.
- 1 or more years’ graphic design experience with adobe products.
- High School diploma or its GED equivalent.
- 2 or more years’ experience with office, operations, branch related functions.
- Advanced Excel skills, application, and practical use. Aptitude and ability to perform physical and worksheet data analysis as well as convert analysis trends, markers, and summaries into charts, graphs, and other related graphical depictions.
