Position Summary:
The Convention and Group Sales Coordinator is responsible for planning, coordinating, and executing events, conventions, and meetings, ensuring they are seamlessly organized and meet both client and company objectives. This position involves selling and promoting the hotel’s 372 guest rooms, extensive meeting spaces, family entertainment center, and amusement park for conventions, corporate meetings, and special events. This role requires strong organizational, communication, and sales skills to effectively manage all aspects of event logistics, client relationships, and vendor coordination.
Key Responsibilities:
- Event Planning & Coordination:
- Develop and manage event timelines, schedules, and checklists to ensure events are executed smoothly.
- Book and manage venues, accommodations, and transportation for conventions and meetings.
- Coordinate with vendors (catering, A/V, decorators, etc.) to meet client requirements.
- Ensure all logistical aspects, such as set-up, materials, and technical needs, are prepared in advance.
- Sales & Client Relations:
- Collaborate with the sales team to secure event contracts and generate leads for future events.
- Work closely with clients to understand their needs and provide tailored event solutions.
- Maintain strong client relationships, ensuring satisfaction before, during, and after the event.
- Budget & Cost Management:
- Develop and manage event budgets, keeping track of expenses and staying within the agreed-upon financial limits.
- Negotiate vendor contracts to ensure the best pricing and quality of services for clients.
- On-Site Event Management:
- Supervise the execution of events on-site, ensuring all logistics are coordinated smoothly.
- Troubleshoot and resolve any issues that arise during the event to ensure a seamless experience for attendees.
- Liaise with venue staff, vendors, and event personnel to ensure everything is in place and functioning properly.
- Marketing and Promotion:
- Assist with promoting events by collaborating with the marketing team to create materials, such as flyers, online content, and social media posts.
- Help with event promotion through email campaigns, newsletters, and direct outreach.
- Administrative Support:
- Maintain accurate records of event details, client communications, and vendor agreements.
- Track payments and invoices related to event costs, ensuring financial transactions are completed in a timely manner.
- Post-Event Follow-Up:
- Gather client feedback and event performance data to assess success and identify areas for improvement.
- Provide post-event reports to management and clients, outlining key takeaways and results.
Qualifications
Qualifications:
Education:
- Associate’s degree in Event Planning, Hospitality, Business, or a related field (a plus).
- Relevant certifications in event planning or sales (a plus).
Experience:
- 2-4 years of experience in event coordination, sales, or a similar role (preferred).
- Experience managing large-scale conventions or corporate events is highly desired.
Skills:
- Strong communication, negotiation, and interpersonal skills.
- Excellent organizational skills and the ability to multitask under pressure.
- Proficiency in Microsoft Office Suite and event management software.
- Ability to work independently and as part of a team to meet deadlines and event objectives.
