Summary:
The Administrative Assistant supports the business office by performing a variety of functions including customer service, transportation scheduling, sales order entry, receptionist, answering incoming phone calls, and general office duties. Duties also include data entry, purchasing, and participation in the company’s continuous improvement process. Other tasks may be assigned as needed.

  • Previous customer service experience a plus
  • Must be able to use office equipment like phones, computer, scanner, email and other miscellaneous office equipment.
Accountability #1 - Business Office Support (70%):
  • Responsible for providing quality customer service to all customers, including walk-in and phone.
  • Responsible for transportation scheduling for shipping, receiving and coordination of all related transportation documents.
  • Responsible for troubleshooting and resolving any customer concerns regarding transportation
  • Coordinates sales order confirmations
  • Responsible for representing the company at community functions on occasion
  • Responsible for data entry, packaging and shipping of sales orders.
  • Responsible for working with shipping companies to coordinate timely delivery of customer orders.
  • Responsible for occasional hand packaging and labeling of product.
  • Works cooperatively with other employees, managers, supervisors and administrative personnel.
  • Provide additional operational support to the office staff as needed.
  • Sort mail, keep workspace neat, orderly and appropriate for a business office setting.
  • Be involved with the audit processes for validation and retrieval of required documents.
  • Have a general understanding of the production, quality, shipping and accounting processes and how it impacts customer orders.
  • Scanning, copying and filing of documents, package shipping, document preparation, collating, etc.

Accountability #2 – Communications (20%):
  • Promptly informs Manager of known or anticipated problems.
  • Ensures clear and timely communication within department and with other departments to maximize productivity and minimize down time.
    • Acts as a problem solver and team player.
    • Must have good written and verbal communication skills.
  • Must be experienced with a personal computer, including Microsoft Word, Excel and Power Point
  • Keeps management team abreast of significant issues or developments identified during routine activities and actions being taken to improve the situation
  • Provide clerical support: Purchasing, scanning, copying and filing of documents, package shipping, document preparation, collating, etc.
  • Email and phone correspondence with suppliers, offsite warehouse and freezer facilities, trucking company, customers, etc.
  • Answer phone calls and working with walk-in customers, vendors, sales reps, & visitors.

  • While performing the duties of this Job, the employee is required to use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is frequently required to stand; walk and stoop, kneel, crouch, or crawl. The employee will occasionally lift and /or move 25 to 50 pounds. Specific vision abilities required by this job include close vision, peripheral vision, depth perception and ability to adjust focus.
  • The typical workday is 8 hours with additional hours as needed based on job requirements.
