Due to ongoing growth, we are seeking an experienced Construction Project Administrator to work as part of the Construction/Admin team to support our construction project teams.
This role will require you to identify and resolve problems, communicate and work effectively independently and as part of a team, take initiative to maintain the momentum of the organizational requirements and exercise collaboration and attention to detail.
We are seeking a detail-oriented and organized Construction Project Administrator to join our team. This position will primarily support the administration of complex landscape construction projects by tracking purchase receipts, managing documentation and performing other key duties to ensure the smooth operation of ongoing projects. This candidate will have strong organizational skills, an understanding of basic landscape construction processes, and a willingness to assist in various administrative functions within the construction field and all levels of the organization.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
The essential functions of this position include, but are not limited to, the following:
Maintain a detailed record of all purchase receipts, ensuring they are accurately and timely reviewed and approved and easily accessible for project tracking and budgeting purposes.
Communicate with vendors and subcontractors to obtain required invoices and receipts, ensuring timely submission for construction project records.
Help track any discrepancies or changes to vendor or subcontractor costs and escalate issues to project managers when necessary.
Familiarize yourself with and follow all company policies, procedures, and work standards.
Provide administrative support for the Construction division, including entering purchase information, receipts and other administrative data into landscape management software.
Assist in reviewing and reconciling project budgets by matching receipts, invoices and purchase orders to ensure pricing accuracy.
Liaise with vendors and suppliers to ensure timely delivery of materials and services for landscape projects.
Responsible for occasional backup reception and telephone duties, including all essential front office procedures, when needed.
Prepare and organize documentation as needed or requested.
Handle confidential and non-routine information with discretion.
Ensure efficient processes and information flow for workload requirements.
Complete work within an appropriate timeframe to prevent backlog and support the timely execution of project milestones.
Prepare and research information to determine process issues as requested by management.
Maintain high standard of quality of all work performed.
Participate in departmental and training meetings.
KNOWLEDGE AND SKILL REQUIREMENTS:
At least 2 years of experience in an administrative support role or professional working environment.
Previous experience in the landscape and/or construction industry is strongly preferred.
Experience with construction or landscape management software is strongly preferred, ideally with proficiency in Aspire. Experience with NetSuite is also highly desirable.
Proficiency with Microsoft Office Suite of programs.
Demonstrate a strong attention to detail and problem solving.
Demonstrate strong organizational skills and ability to multi-task.
Demonstrate strong communication skills, both verbal and written.
Knowledge of landscape and construction terminology and workflow as demonstrated by work experience preferred.
Demonstrate flexibility to perform duties wherever volume deems if necessary.
