The Position
This is a full-time temporary position for a duration of 90 days, with the potential for permanent, full-time employment based on performance and organizational needs. Work from the MAG office required five days per week Mon-Fri 8am-5pm. MAG is a vibrant, dynamic work environment with a variety of activities. The responsibilities for this position include office organization and administrative support for the Office Services Division and the organization. These activities are undertaken with an emphasis on high quality work, close internal communication, and service to the MAG member agencies and partners.
The Ideal Candidate
- We’re seeking a highly organized and professional individual to provide administrative and office support. The ideal candidate will possess:
- Strong interpersonal skills, demonstrating respect, tact, and courtesy when interacting with elected officials, business leaders, coworkers, and the public.
- Ability to handle multiple tasks in a fast-paced environment, managing work both independently and collaboratively.
- Proficiency in Microsoft Office Suite (Outlook, Teams, Excel), and knowledge of office technology (printers, copiers).
- Experience with procurement, inventory management, and maintaining compliance with MAG and state policies.
- Strong communication skills, both verbal and written.
- Ability to perform light errands using a company vehicle and coordinate vehicle maintenance.
- Experience providing hospitality support, meeting setup, and maintaining meeting supplies.
- Attention to detail in safeguarding confidential information.
Key Responsibilities
- Provide administrative support across various MAG departments.
- Coordinate meetings and events, including scheduling, hospitality, and setup.
- Handle legal postings and ensure compliance with the Arizona Open Meeting Law.
- Maintain meeting room setups, kitchen supplies, and technical equipment logs.
Additional Duties
- Order and track catering requests within budget.
- Process work orders and maintain administrative records.
- Manage the main phone line and general mailboxes.
- Ensure meeting rooms are properly stocked, cleaned, and reconfigured.
- Provide security coverage at the front desk and support office logistics.
Requirements
- Proficient in Microsoft Office (Outlook, Teams, Excel).
- High school diploma or GED with 2 years of office experience.
- Valid Arizona driver’s license.
- Strong organizational, time management, and communication skills.
- Ability to lift and move up to 20 pounds. About MAG
