Job Summary
The Student Services Analyst is a fully proficient Admissions, Registration, and Records management level employee. This position uses independent evaluation and analysis to resolve complex problems to make decisions and recommendations. The analyst is involved in hiring, training, scheduling, and monitoring the work of non-exempt, full-time employees, temporary, and student employees. Interprets data from reports to resolve complex admissions, residency, records, and enrollment issues and troubleshoots software and equipment in the enrollment area. Works on higher-level Admissions, Records, and Enrollment-related projects, quality assurance, and training in the Student Information System (SIS). Provides excellent customer service in person, over the phone, and in writing; works with students, parents, faculty, staff, administration, and the community. Responsible for compliance related functions such as National Junior College Athletic Association (NJCAA) Athletic Compliance, records retention, National Student Clearinghouse reports and error processing, and additional compliance reports for the college.
Essential Functions
30% - Works with GCC Admissions, Records and Registration (A&R) Management team to coordinate, implement, develop, analyze, and evaluate processes and procedures for the department. Completes various complex A&R / Enrollment functions that require strong analytical thinking skills and independent decision-making ability. Runs and reviews various reports in Tableau, SSRS, Cranium Cafe / ConexEd, QLess, SIS (PeopleSoft), Assist (Phone) and other databases on a regular basis. Implements quality assurance to include regular review (e.g. spot-checks) to ensure accuracy of completed transactions, prepare / reconcile reports related to enrollment in order to comply with district and government requirements.
30% - Participates in and / or leads office hiring committees; Approves time and absences in Human Capital Management (HCM) for direct reports which may include temporary, work-study, and student staff. Develops and / or oversees the updating of business process guides, and department related training materials and training workshops, and informal guidance for new and continuing employees. Monitors A & R front line, phone & chat staffing in the Enrollment Center, and remote work, always providing optimal coverage and service to students. Performs operational planning, problem resolution, and technical assistance for students, staff, and faculty, including Maricopa Enterprise Identification / password reactivation process and DUO 2-Factor notification.
30% - Processes requests and handles communication for higher-level A&R functions, such as class rosters, residency issues, and refund appeals; processes National Student Clearinghouse reports. Evaluates federal, state, and district policies to ensure program compliance and implement office standards and procedures related to these policies. Serves in a lead compliance role for NJCAA Athletics, verifying student-athlete enrollment and communicating needs and changes to coaches, athletes, and the athletic director. Ensures compliance with NJCAA policies as well as Admissions and Records policies concerning student-athletes and competition.
10% - Other duties as assigned
Minimum Qualifications
Bachelor's Degree from a regionally accredited institution and two years of student services or college teaching experience or experience coordinating, administering, planning, or evaluating programs.
An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job, such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation.
