Job Summary
The Student Services Specialist, Sr., delivers student service enrollment support, manages athletic eligibility, handles processing, and provides information resource referrals by taking on the more complex program support tasks. This includes key responsibilities for athletic eligibility, enrollment processing, and backup support for graduation. Additionally, the role coordinates office workflow and trains other staff members.
This is a short-term assignment with a projected end date of 6-30-2025 with renewal based on available funds and the business needs of MCCCD.
Essential Functions
60% - Provides student service program support by performing more technically demanding athletic eligibility processing and support tasks; responsible for researching and assisting in analyzing and interpreting guidelines and regulations pertaining to athletic eligibility, graduation and course applicability and coordinates the workflow and the implementation of those policies and procedures; evaluates transcripts for athletic eligibility, processes transfer tracer letters for athletes along with non-participation letters, process athletic eligibility to ensure all guidelines are followed with the National Junior Athletic Association and MCCCD policies along with following the NJCAA Rule Book; process online eligibility rosters within defined deadlines, performs AR&R processes (app / admit / matriculate students, lawful presence, ID authentication, residency, enrollment activities, etc.), follows up with faculty regarding records issues; prepares records for permanent storage and / or disposal; evaluates transcripts and record them in the Student Information System; calculates GPAs; determines prior credit / transcripts; provides support for online chat, phones, emails, etc.
30% Prepares and disseminates athletic eligibility forms along with online eligibility rosters; process rosters for Region I Regional Director for Division II sports; process eligibility audits by required deadlines following NJCAA guidelines; prepares daily workload service measures for department and other reporting needs; provides information and technical assistance regarding the Student Information System, reporting, and applicable laws, policies, rules and regulations; provides backup support to graduation processing; researches issues, creates reports, cleanse data (including tuition calculation errors, program plan stack errors, grading errors, enrollment errors, anomalies, drop / withdrawal corrections, etc.); provides backup support for mass enrollment activities, for Online Class Permissions Tool, Student Information System (PeopleSoft) functions, for gathering and summarizing data of departmental activities, for Customer Relationship Management (CRM) reporting, etc,
10% Assists with front-line admissions, records and registration duties when needed and other support units. Performs related duties as assigned.
Minimum Qualifications
Associate's Degree from a regionally accredited institution and two (2) years of student services or college teaching experience or experience assisting with educational program development and coordination, student advisement, financial aid, or related student development programs.
High School Diploma / GED and four (4) years of student services or college teaching experience or experience assisting with educational program development and coordination, student advisement, financial aid, or related student development programs.
