We are looking for a detail-oriented and customer-focused Client Service Associate to join our investment firm. The ideal candidate will support the client service team by providing exceptional administrative and operational support to our clients. You will serve as a primary point of contact for client inquiries, handle account maintenance, and ensure a smooth experience for clients while working alongside the portfolio management team.
Key Responsibilities:
Client Interaction and Support:
- Serve as a primary contact for client inquiries, including questions about account status, transactions, and investment performance.
- Assist clients with onboarding, account opening, and general account management.
- Provide excellent customer service by resolving issues, addressing concerns, and facilitating effective communication between clients and the investment team.
Account Management and Maintenance:
- Assist clients with account updates, including beneficiary changes, account transfers, and withdrawals.
- Ensure accuracy of client account information, keeping all client records up to date.
- Monitor and process client account transactions, ensuring proper documentation and compliance with firm policies and regulations.
Reporting and Documentation:
- Prepare and review account statements, reports, and other client-facing documents.
- Help prepare investment performance reports and other relevant documentation for client meetings.
- Assist in maintaining accurate and organized client records in compliance with regulatory and company standards.
Collaboration with Investment Teams:
- Work closely with portfolio managers, investment advisors, and other internal teams to provide clients with the best possible service.
- Help facilitate communication between the client and the investment team, ensuring clients' needs are met in a timely and efficient manner.
- Assist the client service and operations teams with implementing investment strategies and portfolio updates.
Compliance and Risk Management:
- Ensure all client service activities are compliant with internal policies and regulatory requirements (e.g., SEC, FINRA).
- Stay current on industry regulations, firm policies, and changes in investment products to better serve clients.
Operational Support:
- Assist in the preparation and coordination of client meetings, including scheduling, logistics, and materials preparation.
- Handle general administrative tasks, such as answering phones, managing emails, and processing paperwork.
- Track and follow up on client requests and inquiries to ensure they are completed on time.
Required Qualifications:
Education:
- Bachelor’s degree in finance, business, economics, or a related field, or equivalent work experience.
Experience:
- 1-3 years of experience in a client service or administrative role, preferably within the financial services or investment industry.
Skills and Attributes:
- Excellent communication and interpersonal skills with the ability to manage client relationships effectively.
- Strong attention to detail and the ability to handle multiple tasks simultaneously.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook) and CRM software.
- Knowledge of investment products and financial markets is a plus.
- Ability to work in a fast-paced environment and handle confidential information.
Preferred Qualifications:
- Familiarity with financial planning software or portfolio management tools.
- Series 6, Series 7, or Series 63 licenses (or willingness to obtain within a certain period).
