The Administrative Coordinator for the Physician Assistant (PA) Program provides essential administrative support to faculty, staff, and students. This role ensures the smooth operation of the program by managing communications, scheduling, data entry, and general office tasks. The ideal candidate will be detail-oriented, highly organized, and able to multitask in a fast-paced academic environment.
Key Responsibilities:
- Serve as the primary point of contact for students, faculty, and external stakeholders.
- Manage schedules, coordinate meetings, and organize events for the PA program.
- Maintain accurate records, student files, and databases.
- Assist with the preparation of accreditation and compliance reports.
- Handle correspondence, emails, and inquiries in a timely and professional manner.
- Support faculty with administrative tasks, including exam proctoring, course material distribution, and document preparation.
- Supports the clinical team with administrative tasks, expense reports, preceptor payments, tuition credit, and portal management.
- Assist with budget tracking, purchasing, and expense reports.
- Coordinate travel arrangements for faculty and staff as needed.
- Ensure office supplies are stocked and maintained.
- Perform other duties as assigned to support the program's operations.
Required Experience and Education:
- Associate's or Bachelor's degree in business administration, education, healthcare administration, or a related field preferred.
- Minimum of 2 years of administrative experience, preferably in an academic or healthcare setting.
Required Skills and Abilities:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and database management.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Ability to maintain confidentiality and handle sensitive information.
- Experience with accreditation and compliance processes is a plus.
