The Billing Associate supports the accurate and timely processing of client billing by preparing invoices, verifying data, and resolving discrepancies. Responsibilities
- Invoice Preparation & Processing
Generate and review client invoices with accuracy, ensuring all charges are properly captured in accordance with contracts and policies - Data Entry Validation
Ensure billing data in systems is accurate by reviewing quality controls, validating information to prevent errors, and ensuring clean records - Discrepancy Resolution
Research and resolve billing issues or discrepancies by working closely with internal teams such as Finance, Client Services, and Operations - Client & Advisor Support
Respond to billing inquiries from internal stakeholders and advisors in a professional and timely manner, providing clarity and resolution when needed - Reporting & Reconciliation
Assist in generating regular billing reports and participating in reconciliation efforts to support audit readiness and financial accuracy - Process Documentation & Compliance
Maintain documentation of billing procedures and ensure compliance with company policies, regulatory guidelines, and internal controls - System Maintenance & Improvements
Support data integrity in billing platforms and contribute ideas to streamline billing processes and enhance efficiency - Quarter-End & Ad Hoc Projects
Assist with quarter-end billing cycles and special projects as needed, including cleanup, testing, and reporting
Qualifications
- Bachelor’s degree in Finance, Accounting, Business, or a related field preferred
- 1–3 years of experience in billing, invoicing, or financial operations
Skills & Knowledge
- Proficiency in Microsoft Excel (e.g., VLOOKUPs, pivot tables)
- Experience with billing systems or financial software (e.g., Salesforce, Orion, Black Diamond, Alteryx) is a plus
- Strong data entry and analytical skills with a high level of accuracy
- Clear verbal and written communication skills
- Ability to work effectively with cross-functional teams and respond to stakeholders professionally
- Ability to prioritize tasks, meet deadlines, and manage multiple billing cycles simultaneously
- Strong critical thinking skills and a proactive approach to identifying and resolving issues
- Eagerness to learn and contribute to process improvements
- Comfortable working in a fast-paced, evolving environment with shifting priorities
