What are the responsibilities and job description for the Professional Manager I (PMI) position at Marion County Services Inc DBA Abilities?
Responsibilities:
1. Assist in the receiving of referrals for services.
- Secure referral packets and collect all necessary information for determination of appropriate services. Provide unit calculations to Support Coordinator for authorization of services if needed.
2. Assist with Supervision of Delegated Home Managers/DSPs
- Home Managers and PM communicate on a weekly to daily basis regarding updates, concerns, opportunities for activities, community involvement, etc. PM offers advice and instructions as needed and will follow up through communication with the Home Manager(s) and review of documentation.
- Home Managers and PM will meet on a bi-monthly basis for a thorough review of program updates and Home Manager’s personal progress and goals.
- Supervise staff scheduling on a bi-weekly basis, ensure that Home Managers are inputting and turning in schedules by the deadline of the end of the day Wednesdays after payroll.
- When there is a staffing/ shift coverage shortage (Including but not limited to call-ins, vacations, terminations etc.) the Home Manager is to find coverage for the affected shifts. In the event that the Home Manager is unsuccessful to find coverage– the PM will cover the shortage (Days/ Evenings/ Overnights/ Weekends)
3. Assist with Supervision Day Program Manager and DSPs
- Program Manager and PM communicate on a weekly to daily basis to discuss program updates, activities, community involvement, concerns, etc. PM offers advice and instructions as needed and will follow up through communication with Day Program Coordinator on a bi-monthly basis for a thorough review of program updates and personal progress and goals.
4. Assist with Supervision CI Liaison and CI Staff
- CI Liaison and PM communicate on a weekly to daily basis to discuss program updates, activities, community involvement, concerns, etc. PM offers advice and instructions as needed and will follow up through communication with Community Integration Liaison on a bi-monthly basis for a thorough review of program updates and personal progress and goals.
5. Assist with Investigating injuries and incidents and determine potential causes, assuring that each person is safe.
- When an injury or incident occurs the PM will immediately determine if the person and situation is safe through observation and communication with manager, staff, individual (if possible) and/or appropriate parties involved. Once it is determined safe the PM will fill out or assign appropriate person to fill out an EMT, if applicable. The appropriate parties will be contacted.
- PM will assess the situation and gather facts to determine cause of incident or injury.
- PM will meet with the appropriate people for the situation such as: managers, staff, Support Coordinators, guardians, and/ or Safety Committee to determine a solution to the issue.
- PM will follow up to ensure that the resolution is effective.
6. Assist with Attending Individual Support Plan meetings for Abilities’ individuals to provide input and gain information concerning individual’s needs, progress, and possible changes required to achieve desired outcomes.
- PMs notified of ISP meeting through the Support Coordinator. The PM will gather necessary notes and information to prepare for the meeting to determine changes needed, offer suggestions, provide feedback, etc.
7. Assist with Providing training on routine basis to personnel in Delegated ISL Homes and Bridges Day Program as needed to ensure effective implementation of ISPs or provide quality training programming.
- The PM will monitor and use feedback from staff and managers as to what trainings are needed. PM will provide basic, routine training as needed. If more training is required, the PM will work with HR Manager to locate and set up the proper trainings.
8. Assist with Creating/overseeing Training Plans that will provide all support staff with a detailed outline for teaching skills and tracking data on goals put forth in in individual’s Individual Support Plan.
- Managers will send PM a copy of the training plans as they are created. PM will review and compare to the ISP for effectiveness; if training plans are assigned. If changes or further information is needed the PM will review with the manager to ensure proper training is provided.
9. Assist with Reviewing and summarizing training objective data as it pertains to individuals’ outcomes and make recommendations and/or adjustments in training plans as needed to maximize outcome success and fulfill agency responsibility to funding source.
- Review Case Notes on a monthly basis to ensure that goals and units are met for individuals. Communicate any changes needed to program managers, guardians, Support Coordinators, and ISP team as necessary.
10. Assist program supervisors with performance evaluations for personnel. Present all performance reviews to Executive Director.
- Program supervisors will present performance evaluations to PM for review. PM will provide input as needed. PM will communicate with program supervisors if changes or more information is needed. Once evaluations are complete PM will present to Executive Director.
11. Assist with the Completion performance evaluations for Delegated Home Managers/Program Manager/DSPs. Present performance evaluations to Executive Director.
- PM will create a performance evaluation based on, attendance, job descriptions, disciplinary actions, accomplishments, self-evaluations, and a general overview of work performance. PM will submit to Executive Director for review. PM will make necessary changes and present to final copy to Executive Director and employee.
12. Assist Executive Director with annual needs assessments as requested.
13. Confer with Professional Manager II on a weekly basis. Provide input as requested concerning individual service programs and personnel needs.
- PMII and PMI meet weekly to discuss updates, individuals’ issues, and personnel needs.
- PM keeps notes of any situation that will need discussed with Executive Director. If the situation needs immediate attention PM will contact Executive Director at that time.
14. Coordinate with other service agencies to utilize community resources and other sources or assistance/ funding available to individuals.
- PM will research and participate in (if possible) community organizations that can provide resources, assistance, and funding to individuals. If there is a resource is available PM will take proper steps for the situation to make it available to individuals
15. Represent Abilities at professional and service organizations as assigned by the Executive Director.
16. Assist with Assuring the maintenance of Department of Mental Health Waiver Certification. Lead personnel in updating and maintaining progress toward Strategic objectives as requested.
17. Work with Executive Director in fund raising events if needed.
18. Perform all other duties as assigned by the Professional Manager II, Executive Director and/ or Board of Directors.

Requirements:Bachelor Degree in related human services field (including but not limited to: sociology, special education, child development, rehabilitation counseling, and psychology), or 3 years’ experience in MR/DD field
