(MDCo) is looking for an Event Coordinator to plan, manage, and execute virtual and in-person events that align with client objectives and company goals. Responsibilities
- Event Planning & Coordination:
- Plan and execute virtual and in-person events, including webinars, trade shows, networking events, and client appreciation gatherings.
- Develop event concepts, timelines, and budgets while aligning with client goals and brand strategies.
- Work with internal teams to create an event roadmap and ensure smooth execution.
- Logistics & Vendor Management:
- Coordinate with vendors, venues, and service providers to book event spaces, catering, technology, and other requirements.
- Manage event registration, attendee lists, and communication before, during, and after events.
- Ensure all necessary permits, contracts, and vendor agreements are in place and compliant with company policies.
- Marketing & Promotional Support:
- Collaborate with the marketing team to create event materials, including invitations, social media promotions, and follow-up content.
- Assist in developing event campaigns to increase attendance and engagement.
- Ensure brand consistency across all event-related assets.
- On-Site & Virtual Event Execution:
- Serve as the primary point of contact during events, ensuring smooth setup, execution, and breakdown.
- Troubleshoot and resolve any real-time challenges to maintain a seamless event experience.
- Provide support for speakers, sponsors, and attendees as needed.
- Post-Event Reporting & Analysis:
- Track key performance metrics, including attendance, engagement, and ROI.
- Collect feedback from attendees and stakeholders to improve future events.
- Prepare post-event reports with insights and recommendations for optimization.
Job Requirements
- Experience & Education:
- Bachelor’s degree in event planning, marketing, communications, or a related field OR 2 years of event planning experience.
- Experience coordinating both virtual and in-person events, from webinars to large-scale conferences.
- Skills & Tools:
- Strong organizational and project management skills, with the ability to juggle multiple events at once.
- Exceptional communication and interpersonal skills, comfortable liaising with clients, vendors, and internal teams.
- Experience with event management software and tools (e.g., Eventbrite, Zoom, HubSpot, ClickUp, or similar platforms).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); Canva or Adobe Creative Suite experience is a plus.
- Personal Attributes:
- Detail-oriented with a proactive, problem-solving mindset.
- Ability to stay calm under pressure and adapt to last-minute changes.
- A strong sense of creativity and innovation in designing engaging event experiences.
