Job Description: Assistant Event Coordinator

Position Overview:
We are seeking a highly organized and detail-oriented Assistant Event Coordinator to join our dynamic team. The ideal candidate will support the Event Coordinator in planning, organizing, and executing a wide range of events, ensuring that all aspects run smoothly and efficiently. This role requires excellent communication, multitasking, and problem-solving skills to meet the expectations of clients and stakeholders.


Key Responsibilities:

  1. Event Planning and Coordination:

    • Assist in the planning and execution of events, including corporate events, weddings, conferences, and social gatherings.
    • Collaborate with vendors, clients, and team members to ensure event requirements are met.
    • Conduct site visits and assist in selecting venues, catering, entertainment, and other services.
  2. Administrative Support:

    • Maintain and update event schedules, budgets, and timelines.
    • Organize and manage contracts, invoices, and other event-related documentation.
    • Prepare detailed event plans, including itineraries, seating arrangements, and checklists.
  3. On-Site Coordination:

    • Assist in setting up, managing, and breaking down events.
    • Act as the point of contact for vendors, guests, and team members during events.
    • Monitor and address any issues that arise during the event to ensure a seamless experience.
  4. Client Communication:

    • Respond to client inquiries and provide updates on event progress.
    • Ensure client preferences and expectations are understood and met.
    • Provide post-event feedback and support.
  5. Logistics Management:

    • Coordinate transportation, deliveries, and accommodations as needed.
    • Manage inventory of event supplies and materials.

Qualifications and Skills:

  • Strong organizational and time-management skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software.
  • Ability to multitask and work under pressure in fast-paced environments.
