The Office Assistant provides vital support for both, so we’re currently seeking someone exceptional for this role. The ideal candidate will be a problem-solver who has excellent communication skills and impeccable attention to detail. This person should have experience working in an office environment, performing administrative tasks, and providing support to coworkers. The ability to multitask, manage schedules, and meet changing deadlines is essential for this position. Perform general administrative tasks, such as answering and directing phone calls; handling email, faxes, files, meeting minutes, mailings, and deliveries; and coordinating meeting-room calendars, and data entry.
Keep the office clean, stocked, and organized, especially the kitchen, conference rooms, stockrooms, storage closets, and communal areas
Order office supplies, stock supply stations, and ensure equipment is operable
Maintain filing system, contacts database, employee lists, and inventories
Provide ad hoc support to staff members and departments, including organization of on-site and off-site team events Serve as back-up for several positions. The candidate must have excellent communication skills, 10 keys by touch, computer literacy and must be very proficient with spreadsheet applications. Order entry and order processing experience required.
Office Assistant Job Responsibilities:
Receives and distributes communication; collects and mails correspondence
Copies and stores important documents and records.
Maintains inventory of office supplies and anticipates supply needs; ensures prompt ordering and receipt of supplies and delivers supplies to workstations as needed.
Provides office communications support by fielding calls, answering questions, forwarding messages, confirming customer orders and keeping customers informed of order status.
Maintains equipment by completing preventive maintenance, troubleshooting failures, calling for repairs, monitoring equipment operation and purchasing meter funds.
Maintains office schedule by picking up and delivering items as needed.
Updates job knowledge by participating in educational opportunities.
Enhances organization reputation by accepting ownership for accomplishing new and different requests; and exploring opportunities to add value to job accomplishments.
Part time: 9am-3pm Monday- Friday
Salary: $19.00-$20.00 DOE
