Job Description:
We are seeking a caring, compassionate Office Assistant to join our management team. Ideal candidate is passionate about providing the best atmosphere for our residents and staff. Candidates must be proficient in Word, Excel and Outlook. Ability to maintain confidentiality a must. Preference given to candidates with general Human Resources, Canopy, Scribe, AI platforms or Board Secretary knowledge.
Supervisory Responsibilities:
· None.
Duties/Responsibilities:
· Operates office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment.
· Answers phones, directs calls to appropriate individuals, and prepares messages. Covering receptionist breaks/end of day/vacation
· Providing weekend coverage several times per year
· Prepares letters, memos, forms, and reports according to written or verbal instructions.
· Sorts incoming mail and delivers to appropriate department or individual, processes outgoing mail.
· Maintains filing systems either manually or electronically for Residents and Employees
· Scheduling interviews, checking references, arranging pre-employment testing, hire day duties, hiring and termination memos and preparation of employee files. Assisting Human Resources as needed.
· Taking/maintaining minutes for DHHS Board meeting as well as other routine meetings
· Participation in Social Committee and employee/resident recognition

· Auditing procedures/purchase orders
· Performs other related duties as assigned.

Education and Experience:
· High school diploma or equivalent required.
· Clerical experience preferred.
Physical Requirements:
· Prolonged periods sitting at a desk and working on a computer.
· Must be able to lift up to 15 pounds at times.
· Work in a Long-Term Care setting
Job Type: Full-time
