About the Role:
The Executive Assistant Intern will play a crucial role in supporting the executive team within the construction industry, ensuring that daily operations run smoothly and efficiently. This position is designed to provide hands-on experience in administrative tasks, project coordination, and communication with various stakeholders. The intern will assist in managing schedules, organizing meetings, and preparing reports, which are essential for informed decision-making. By collaborating closely with senior executives, the intern will gain valuable insights into the construction sector and the strategic initiatives that drive the company forward.
This internship will last up to but no longer than 6 months from date of hire.
This internship has the potential to transition into a permanent position, offering a pathway for career growth within the organization.
Responsibilities:
- Provide direct support to the CEO of MARS Energy Group, dedicating up to 70% of your time to executive assistance.
- Manage executive calendars, schedule meetings, and coordinate travel arrangements with accuracy and discretion.
- Prepare and organize documents, reports, and presentations for internal and external use.
- Communicate clearly with team members, clients, and vendors to support project coordination and progress.
- Conduct research and compile data to support informed decision-making.
- Handle general office administration, including ordering supplies and submitting building maintenance requests.
- Assist in tracking deadlines, priorities, and key initiatives across departments.
- Help prepare for leadership meetings, including agendas, logistics, and follow-up documentation.
- Take initiative to streamline processes, anticipate needs, and ensure smooth day-to-day operations.
Minimum Qualifications:
- Currently pursuing a degree in Business Administration, Management, or a related field preferred.
- Strong organizational skills and attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent verbal and written communication skills.
Preferred Qualifications:
- Previous internship or work experience in an administrative or support role.
- Familiarity with project management software or tools such as CRM, ERP, etc.
- Basic understanding of the construction industry and its terminology.
Skills:
- The required skills, such as strong organizational abilities, will be utilized daily to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Proficiency in Microsoft Office Suite will enable the intern to create professional documents and presentations that support executive initiatives.
