Assistant Property Manager
The Assistant Property Manager plays a crucial role in ensuring the efficient operation of the property by supporting financial management, resident relations, lease renewals, and maintenance coordination. This position requires strong organizational, communication, and problem-solving skills to enhance the overall resident experience while maintaining the property’s financial and operational goals.
Key Responsibilities:
Property and Maintenance:
- Conduct property inspections of common areas and buildings/breezeways alongside the Property Manager to maintain safety and curb appeal.
- Issue and track compliance of violation letters sent to residents.
- Organize and oversee weekly service request follow-ups, ensuring completion by the end of the week, with emergencies followed up within 24 hours.
- Coordinate with the maintenance team to track ongoing unit work and ensure timely completion.
- Work as the liaison between the leasing team/ Director and Service Director to ensure adequate inventory is available at all times (to show).
- Ensure show units, models, amenities, and common areas are always in the best marketable condition.
- Oversee and coordinate the leasing team's routine inspection of the above areas and “puffing” vacant units regularly.
Financial Management:
- Oversee the completion of Conservice delinquency letters.
- Assist with monthly collections reports and pre-bill preparation for the property.
- Manage asset input in OneSite to ensure accurate financial tracking.
- Organize and code invoices weekly and compare the Weekly Register with submitted invoices.
- Support the Property Manager by entering financial data into budget templates for variance reports.
- Assist with monthly variance reports and capital projects.
- Contribute to budget preparation and presentations during the 2nd and 3rd quarters.
Lease Renewals:
- Oversee the renewal strategy and worksheet completion.
- Collaborate with the Property Manager to review and provide feedback on the retention strategy.
- Send renewal offers and reminder letters.
- Work with the leasing team to conduct follow-up renewal calls and complete renewal packets before month-end closeout.
- Maintain an updated renewal tracking spreadsheet with lease terms and trade values.
- Provide weekly renewal data and feedback on retention numbers for weekly reporting.
- Verify renewal lease accuracy before sending it to residents.
Resident Retention and Management:
- Develop and implement resident engagement programs and promotions.
- Ensure timely distribution of flyers and emails related to resident events.
- Manage quarterly newsletters.
- Collaborate with the team to develop and track social media content. Ensure posts are scheduled timely and in line with the marketing strategy.
- Oversee resident file compliance, including insurance, pet information, lease documentation, and notices.
- Address resident complaints and policy violations, focusing on personal service and timely resolution.
- Work with the Property Manager to escalate issues that require further attention.
Additional Responsibilities:
- Foster a competitive and positive team environment.
- Provide insight and recommendations on unit remodels and upgrades.
- Assist in training new associates based on the company’s training checklist.
Qualifications
Qualifications & Skills:
- Education & Experience: A high school diploma or equivalent is required; an Associate’s or Bachelor’s degree in Business, Real Estate, or a related field is preferred. Prior experience in property management, leasing, real estate, or CAM designation from NAAEI is a plus.
- Technical Skills: Proficiency in OneSite or similar property management software. Strong skills in Microsoft Office (Excel, Word, Outlook). Experience with Sprout Social, Canva, or similar is a plus.
- Communication & Interpersonal Skills: Ability to communicate effectively with residents, team members, and external vendors. Customer service-oriented with a focus on resident satisfaction.
- Organizational Skills: Ability to prioritize multiple tasks, meet deadlines, and maintain accuracy in financial and resident data management.
- Problem-Solving: Proactive in identifying and resolving property-related concerns.
