Description
To assist the Senior Associate Dean of Professional Affairs and Clinical Education, and the Assistant Dean of Residencies in coordinating activities related to Outreach, Residency, Clinical Education, and International Optometry Programs, to further students’ knowledge and to provide a needed service for the communities and other programs as noted below. The Manager will also help support the Associate Dean of Clinics for facility needs related to Ketchum Health.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Outreach/Residency Programs

Coordinate Student outreach assignments , including those circumstances when students have been displaced

Advise 3rd year interns on their best course of action in regard to selecting their externship locations.

Coordinate with extern preceptors to establish availability to interns. Deduce whether or not an externship will benefit our clinical education program and discuss benefits with interns.

Counsel with the Senior Associate Dean for Professional Affairs and the Assistant Dean of Residencies to address issues and solve problems as they arise.

Distribution of Evaluations and Summary of Evaluations for each Outreach Site annually.

Make sure all Student and Resident paperwork is turned in on time and that they have met their requirements

Contact 4th year students quarterly to request patient encounter totals and faculty evaluations. Enter requirements in Meditrek Software System.

Coordinate schedules for the 4th year Advanced Procedures Course
-
Maintain files of Residents and 3rd and 4th year students containing evaluations, patient counts and other pertinent information (memos from Assistant Dean of Residencies, etc.).

Maintain extensive files and online resources regarding Outreach programs.

Provide Memorandum of Understanding with Outreach/Residency clinic sites for approval of the Senior Associate Dean of Professional Affairs, Assistant Dean of Residencies, and signature of Dean of the College of Optometry.

Update and distribute Outreach and Residency Directories and Manuals.

Send memo and student evaluation forms each rotation (mid-term and final) to each Outreach site.

Record receipt of evaluations at mid-term and end of each rotation of student/faculty/program. Contact preceptors if not received by deadline.

Send memo and Resident, Faculty and Program evaluation forms to each site.
-
Complete mailings of information to Outreach sites regarding students who will be attending their sites in the coming year, including personal information needed regarding each student.

Complete government forms required by some sites regarding US citizenship. Keep abreast of any changes in policies regarding student interns.

Assist the Assistant Dean of Residencies and Supervisors in Coordinating Residency Interviews.

Send Contracts to the Residents that are accepted to the programs.

Prepare and send Accreditation Manuals for Residency Programs coming up for Accreditation

Maintain and update credentialing information for all UEC residents and fellows.

Request and keep record of reimbursement for travel and expenses for residents attending educational meetings and conferences

Maintain immunization records and compliance for all SCCO students
-
Maintenance of Outreach Web Page. Web Page contains information for upcoming 4th year students on approximately80 0utreach Sites (accessed via SCCO Soft).

Act as liaison to faculty, administrators, support staff, students, preceptors, public, etc.

Regular and reliable attendance is required; adhering to university attendance policy
Annual Meeting with Adjunct Faculty
Schedule and attend with the Dean, Senior Associate Dean of Professional Affairs and Assistant Dean of Residencies with an annual meeting with chiefs of local and selected out-of-town VA's. Provide food, agenda, handouts and subsequent summary of the all day meeting. Request reimbursement for attendees for travel expenses.
Adjunct Faculty

Responsible for solicitation letters and application letters for potential adjunct faculty.

For approximately 160 Adjunct Faculty, annually update and send appointment letters, contracts, and benefits policy (clinical and non-clinical)
-
Commencement invitation and response form.
-
Maintenance of files and current adjunct faculty lists.
-
Certificates of Appreciation for contributions to student program for the previous year.
-
Maintain online library proxy spreadsheet and approve users. Communicate with IT to create user credentials.

Schedule and attend annual meetings with the Adjunct faculty from other affiliated outreach programs.
International Programs
-
Assist in the scheduling of guest faculty and students from other countries as part of a Scholarly Exchange Program

Create correspondence letters (invitations/ contracts) for faculty

Schedule travel arrangements as needed
Ketchum Health
-
Serve as a facilities coordinator for events such as clinic in-services and development programs - coordinating room reservations, ordering, and picking up meals

Support the Associate Dean of Clinics for any tasks necessary to complete
Department of Community Health

Help support with MBKU Community Health Department requests from the public for the College's participation in health fairs. In some cases, tactfully explain to the requester why College cannot participate.
Las Vegas Low Vision Clinic

Assist in record keeping and monthly billings for services and yearly billings for Nevada license fee. Maintain files of contracts, etc.
QUALIFICATION REQUIREMENTS

Experience with diverse community agencies including nurses, physicians and other medical professions is a plus.

Proficient computer skills (MS Office, Word, Excel, PowerPoint, and Outlook) required.

Experience and proficiency in electronic medical records or other healthcare related database management system is desirable.

Bilingual in Spanish is preferred

Flexibility to work some weekends and evenings per year.
EDUCATION AND/OR EXPERIENCE

High School degree required, Bachelor’s degree (B.A./B.S.) preferred or five years of related experience and/or trainings; or equivalent combination of education and experience
