What are the responsibilities and job description for the Operations Manager position at Martha's Vineyard Interior Design?
The Operations Manager works with the Principal, Design Team, and Accounting Department.
This is a very important role within our company and team!
The Operations Manager responsibilities keep our office and team running smoothly.
Responsibilities include:
- Oversee day-to-day business operations and act as point person for administrative needs.
- Liaison between Principal and public as needed.
- Manage and approve office purchases and expenditures.
- Prepare and maintain all Letters of Agreement for new and prospective clients.
- Prepare Opinion of Probable Costs per direction of Principal.
- Manage Record of Project Totals for Opinion of Probable Cost.
- Maintain MVID and Bespoke Abode Employee Handbook and Standard Operating Agreement (SOP).
- Manage company HR needs including employee onboarding and off-boarding employees.
- Review and approve monthly benefit bills (APL, GIS, BCBS) and coordinate with Accounting team.
- Manage recruiting efforts for new hires.
- Coordination with IT and accounting departments for new hires, as well as employee exits.
- Maintain MVID vendor accounts and records, as well as opening new accounts.
- Maintain active prospect lists for weekly team meetings.
- Coordinate MVID employee housing property management and oversee preparation of new employee accommodations and move in dates.
- Management of company cars.
- Preparation and management of property lease agreements.
- Manage insurance (auto, cyber, property, etc.).
- Office administration, including answering phones, mail pick-up, ordering office supplies, petty cash, etc.
- Coordinate outsourced support for office as needed (IT, property manager, copier/printer/scanner, office cleaning, recycling pick-up, deliveries, etc.) and act as point of contact for each.
- Project order tracking and maintain updates Houzz Project Tracker.
- Assist Purchasing Manager with pro forma quotes and preparing client product proposals (as needed).
- Receive and inspect project deliveries to MVID, catalog receipt, and file any necessary damage claims.
- Manage Damage Claim Chart.
- Manage required updates to company website.
- Oversee and manage budget for marketing (MVID and Bespoke Abode).
- Coordinate marketing and publishing opportunities with Principal.
- Maintain Principal’s calendar.
- Directly Assist Principal (as needed).
- Participate in goals and objectives of both company brands (Martha’s Vineyard Interior Design and Bespoke Abode) as needed.
Requirements / Qualifications:
- Professional proficiency in Microsoft Office.
- Strong organizational skills with attention to detail.

- Highly competent and self-sufficient.

Salary based on experience. Full-time / Year-Round.
This position reports to the Principal.
