Job Title: Martin County Fair Administrative Assistant
Department: Fairgrounds/Fair Association
Reports To: Fair director or Fair Board
KEY RESPONSIBILITIES
Job Summary:
The County Fair Admin assistant is responsible for providing a variety of clerical and support to the Fair director and Fair Board. This position involves managing records, correspondence, and communications related to the annual fair and other fair-related events and activities.
Record Management:
Maintain accurate records of fair activities, including event schedules, vendor information, and participant details. Distribute minutes of all fair meetings.
Organize and file all relevant documents and correspondence.
Communication:
Respond to inquiries and correspondence from the public, vendors, and other stakeholders.
Prepare and distribute announcements, flyers, and other promotional materials.
Maintain and update the fair website and social media channels [if applicable].
Event Support:
Assist with the planning and execution of fair events, including registration, scheduling, and logistics.
Prepare and distribute awards certificates and other event-related materials.
Coordinate with volunteers and staff to ensure smooth event operations.
Clerical Duties:
Type correspondence, reports, and other documents.
Maintain a clean and organized office space.
Manage phone calls and emails.
Perform other duties as assigned by the Fair director or Fair Board.
Financial Support:
Assist with the preparation of financial reports and budgets
Experience with QuickBooks is a plus.
Maintain accurate records of fair finances. The treasurer will assist with this.
Other:
Organize and promote sponsorship of the fairgrounds and fair.
Assist with all volunteers for the fair.
Qualifications:
High school diploma or equivalent.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and QuickBooks.
Excellent communication and interpersonal skills.
Strong organizational and time management skills.
Ability to work independently and as part of a team.
Experience with fair operations or event planning is a plus.
Ability to work irregular hours, including evenings, weekends, and holidays.

Pay: $18.74 - $19.54 per hour
Expected hours: 20 – 35 per week

- Monday to Friday
- Weekends as needed
