Job Description
Summary:
This position requires clerical, reception, screening, and scheduling support for the Sr. Director of Business Development and the Business Development department. It will be the responsibility of the Assistant of the department to resolve any conflicts with scheduling arising from their duties of supporting multiple people within the department. You will be the initial link to many clients, associates, and others. It is expected that you will perform your duties with a partnering attitude, and a pleasant, professional manner.
Key Responsibilities and Accountabilities:
- As directed by Sr. Director Development, provide written and verbal correspondence, facilitate meetings, luncheons, and events with Owners, Developers, Brokers & Architects
- Maintain files in an organized manner.
- Assist in any organizing MHC or industry events as directed by the Sr. Director of Business Development, such as Women’s Retreat.
- Administer check requests as needed
- Assemble required materials to meet deadlines and department requirements.
- Prepare meeting agendas and minutes
- Schedule and organize team meetings
- Routine clerical duties—screen calls, generate correspondence, setting up new files, maintaining and organization of department files, reproducing documents, drawings, scanning, data entry, updating data base, etc.
- Create and Process Brochure Requests Both in Paper Format and Electronically.
- In collaboration with marketing, assemble company brochures and proposal materials to meet deadlines and department requirements.
- Monitor, dispense and maintain inventory of marketing materials, such as brochures, hats, T-shirts, and golf shirts.
- Purchase office supplies for department as needed.
- Keep track of telephone messages and deliver them to the Sr. Director of Business Development.
- Receive and deliver daily mail to Sr. Director of Business Development.
- Maintain and update project database in Cosential as directed by the Sr. Director of Business Development
- Maintain BD Events Outlook Calendar
- Assist the Sr. Director of Business Development with traveling needs, booking airfare, hotel, and rental car. Maintaining documentation and forwarding on travel expenses to the Executive Assistant to the President.
- Assist when needed with associate monthly credit card expense reports
- Assist Procurement and RPC in tracking Public Works projects through thirty-eight entities websites three times per week
- Create and maintain all season ticket calendars and MHC events season ticket calendar invites, manage employee raffle and distribute, maintain, and distribute parking passes for all events (VGK, AHL, AEG Events, Aviators, NFR, UNLV and MHC events).
- Assist the Sr. Director of Business Development and the department in tracking top tier clients and pursuits and present at Quarterly Zipper Model meetings.
- Assist Sr. Director of Business Development and the department in coordinating relationship building breakfasts, lunches, dinners, catering, and set up.
- Assist the Sr. Director of Business Development with forecasting of industry schedules by providing reminders of upcoming events, deadlines, or obligations
- Assist with scheduling meetings and resources for those meetings, i.e., conference rooms, catering, Teams, and other set-up.
- Code and process invoices.
- Assist with the development of Client presentations, materials, and power points.
General Duties:
- Cooperate with other departments who require services provided by Business Development.
- Be aware of opportunities to assist others in a Partnering manner, such as sharing, mentoring, or providing constructive input.
- Function as a source of information to the Sr. Director of Business Development to keep them aware of situations within the company, which may require their attention.
- In weekly one-to-one, provide updates on upcoming tasks, events, and /or meeting that need the Sr. Director of Business Development attention or that you need further assistance with
- As directed by the Sr. Director of Business Development, the Assistant to Business Development may be required to participate in professional and community functions, representing Martin Harris Construction to help achieve more visibility for the company (breakfasts, luncheons, mixers, community outreach, outings, etc.)
Skills, Experience and Qualifications:
The individual that holds this position should be self-motivated, a team player, a person with integrity, honesty, and moral character. The individual should have the ability to work well in a group environment, communicate tasks and prioritize daily duties to multiple people.
- High school graduate with some college desirable.
- Minimum of 2 years’ administrative support experience
- Previous experience in construction preferred
- Aptitude and eagerness to learn new technical concepts
- Ability to perform work accurately and completely, and in a timely manner
- Ability to work collaboratively to obtain information in support of the team’s goals
- Ability to be proactive and resourceful
- Must be capable of multi-tasking various activities (leads/projects) at the same time.
- Exceptional organizational and time management skills.
- Proficient knowledge of Microsoft Office (Word, Outlook, Excel, and Power-Point), social media networks and CRM apps.
