Job Description
The Estimating Administrator provides critical support to the Estimating team by ensuring smooth communication and document management throughout the bid process. This role assists in bid coordination, subcontractor outreach, and administrative tasks to maintain efficiency and organization within the department.
Duties And Responsibilities
- Ensure that subcontractor lists and SmartBid information are maintained and updated regularly.
- Supports Estimators by ensuring adequate bid coverage in each subcontractor classification, maintaining clear and organized records of subcontractor participation.
- Sends bid invitations via SmartBid and systematically tracks subcontractor responses to ensure complete bid coverage and engagement.
- Manages bid book creation, both in hard copy and electronic formats, ensuring accuracy, completeness, and ease of reference for the estimating team.
- Updates subcontractors on addenda, modifications, and bid-related changes, proactively confirming receipt to avoid miscommunications.
- Assists in processing subcontractor prequalification applications, verifying submitted information, and responding to contractor inquiries regarding requirements.
- Maintains department files and assists in administrative tasks such as generating reports, organizing digital and physical documents, and maintaining departmental tracking logs.
- Acts as the first point of contact for subcontractors, addressing general inquiries and directing more complex questions to the appropriate estimator or manager.
- Assists with department events and represents the company at industry meetings as needed, helping to build relationships within the construction community.
- Assist with the general upkeep of plotter.
- This position requires a physical lifting capability of 10-50 pounds and requires repetitive hand movements as well as physical dexterity and mobility.
- Excellent phone etiquette skills and a professional demeanor.
- Strong organizational and communication skills.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with document management systems.
- Ability to handle multiple tasks in a fast-paced environment.
- Customer service experience or familiarity with subcontractor relations is a plus.
- Ability to work under direct supervision, following established procedures and guidelines while learning department processes.
