POSITION SUMMARY
The Talent Acquisition Specialist reports to the Director of Talent Acquisition and works closely with the Recruiters, HR Generalist, Employee Health department, and HR Team in all aspects of the HR department day-to-day activities. The Talent Acquisition Specialist will interact with candidates, employees, and contractors while actively participating in the recruitment process, managing employee files, pre-employment background checks, I-9 management, new hire paperwork, file audits, payroll documents, and HRIS data entry.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Schedules HR onboarding appointments for new hires and meets with candidates to ensure successful onboarding
- Initiate, review, and monitor background checks and references daily through third party vendor sites
- Process new hire paperwork via DocuSign and ATS onboarding portal
- Conduct final audit of accuracy of new hire and outsourced staff requirements and ensures that full compliance is met prior to on-boarding
- Conducts weekly meetings with various departments and third party vendors to address any issues or concerns with onboarding
- Send new hire documents to appropriate internal departments such as payroll and management team
- Enter new hire into HRIS (post integration with HMC/ATS)
- Create new employee personnel files and maintenance
- Collects I-9 documentation and is responsible for the maintenance of retention
- Answer incoming calls and assists applicants, candidates, and new hires with inquiries
- Review general onboarding email inbox and direct emails to appropriate internal stakeholders
- Participate in implementation of ongoing improvement initiative
- Communicates with candidates in the pre and post offer stage to provide an exceptional onboarding experience
- Engages candidates, at all levels, in a respectful and professional manner that maintains the dignity of the individual
- Frequent interaction with Hiring Manager and Recruitment
- Support with various recruitment activities as needed
- Assist with providing benefits information to candidates and employees
- Files papers and documents into appropriate employee personnel electronic files
- Provide assistance with coverage of front desk as needed
- Process Hospital Outsourced Staff status changes transactions such as transfers, reclassifications, name changes, promotions, leaves of absence, etc. in HRIS. Ensures that the appropriate documentation is completed and all job-specific requirements are met
- Responsible for onboarding-cycle for Hospital Outsourced Staff and travelers
- Provides support to HR team by entering, formatting, and printing information; organizing work; answering general questions; relaying messages
- Other responsibilities as assigned
POSITION REQUIREMENTS
A. Education
- Bachelors in Business Administration or Healthcare Administration, or related field preferred.
B. Qualifications/Experience
- Minimum 1 year Human Resources support experience or a combination of experience and education will be considered.
- Experience in healthcare helpful but not required
- PC proficiency in Microsoft Office, including Word, Excel and PowerPoint
