Position Description :
This role is the first point of contact for existing and future tenants, brokers, lenders, etc. and provides light administrative support to the Operations Department and office staff. The position also serves as a back-up to the Operations Department. Successful candidates will have excellent customer service skills, problem solving abilities, and can thrive in an often stressful, multi-tasking environment.
Key Responsibilities :
- Greet guests and clients in a professional, friendly and hospitable manner
- Professionally screen and route incoming phone calls (5 lines)
- Take messages and distribute to intended recipient when needed
- Act as back-up for the building maintenance / operations phones (3 lines)
- Receive, sort and distribute all incoming mail
- Coordinate shipments via courier, DHL or Federal Express
- Support Operations Department with various tasks
- Log and distribute will call items
- Distribute payroll checks
- Coordinate conference room schedule
- Provide parking validations to guests
- Assist clients and employees with questions and requests
- Update Reception manual as tasks evolve
Required Qualifications and Skills :
While performing the duties of this job, the employee is frequently required to stand and reach with hands and arms, kneel, bend at waist, walk, sit, and carry up to 25 pounds. Employee is frequently required to grasp and use fine manipulation with hands, to include, dialing, keying / typing, and writing with an implement.
