What are the responsibilities and job description for the Member Services Manager position at Martis Camp?
The Member Services Manager operates within an annual schedule, budget, and Club Rules, under the direction of the Chief Operating Officer and Chief Financial Officer and in accordance with Club and Community member requirements and interaction.
This position communicates actively with existing members, prospects, new members, real estate sales professionals, escrow and title companies, and the Club administrative and accounting staff. It is responsible for a wide variety of legal, accounting, planning, and organization with regard to resale homes and homesites in the Community, Club membership application and issuance, and operates within a detailed and accurate expectation of applications and file organization.
We're looking for a dynamic and approachable individual who is a strong team player and excels at collaborating with department heads. The successful candidate will be highly organized, detail-oriented, and possess a proactive, hands-on work style. Effective communication with both Club and Community members is essential. Preference will be given to candidates with experience in real estate, legal (paralegal), accounting, or title industries. Prior HOA experience and a California Notary license are also highly desirable.
ESSENTIAL JOB RESPONSIBILITIES:
Membership Coordination and Communication
- Coordinate, plan, organize and issue Club Golf and Social membership applications, directly respond, file and organize all membership applications with the real estate sales team.
- Check membership applications, reviews references and make recommendations to membership committee.
- Maintain the Club’s database (membership directory) of owners, in both the Golf, Social and Honorary categories, including a resignation list for resigned members, a waiting list and other spreadsheets as needed to track members.
- Track Club members, while working with the accounting department to coordinate timing of newly issued memberships, retiring sold memberships, transferring and reissuing memberships and establishing accounts for new members.
- Provide an understanding of the Club’s membership offering to members and prospective members.
- Assist the Executive Leadership team with member communications including surveys and notices.
- Develop and assure that established procedures for processing memberships are consistently followed.
- Conduct orientation programs for new members.
- Track, coordinate and communicate with sellers and purchasers, real estate professionals and title companies on the sale and resale of homes and homesites within the community, including inspection of lot Final Master Statements for HOA and Club dues and fees.
- Coordinate, plan, organize and maintain individual homesite files for new owners of the Community Association, including archives of resigned owners.
- Work with real estate sales in introducing prospective members to the Club and membership process.
- Provide high-level administrative support to the Club’s COO and Senior Director of Operations “SDO” including calendar support, meeting planning, managing correspondence, preparing documents, and ensuring smooth operation of high-level meetings and events.
- Assist the Chief Operating Officer “COO” in the matters of the Club Board, including organizing annual and quarterly meetings and assisting the MCC Board with letters to members and minutes of meetings.
- Manage the Offering Circular and Annual permit application with the Department of Business Oversight (“DBO”), manage amendments of the Club documents, maintain a corporate book, manage annual and quarterly meetings and keep accurate files relative to Club membership documents.
- Prepare and distribute Board Meeting collateral including agendas, meeting minutes, revisions, and other communications as needed
- Maintain a file of Club historical information.
- Project a superior attitude and presentation, with an understanding that positive interaction, a “can do” attitude and anticipating the needs of the members and their guests is a guiding philosophy.
- Work within an accurate and detailed level of consistent file and reporting needs, including member applications and letters with excellent communication skills.
- In a cooperative and collaborative manner, work closely with the Club COO, SDO, and other department heads in the understanding of individual member needs and requests.
- Accommodate and establish positive rapport with Members and guests. Promote positive member and prospective member relations between the Club’s management and the Membership.
- Effectively, in a timely manner, respond to Member comments in accordance with Club standard, policies and rules; uses ideas, feedback and suggestions to continuously improve the services provided to members.
- Participate in continuous training to enhance career development and technical areas of expertise.
- Any other duties as needed to improve safety and assist fellow Ambassadors in fulfilling Martis Camp’s Mission, Vision, and Core Values.

- 2 years of college experience required. Bachelor's degree preferred.
- California Public Notary Commission
- Real estate sales experience preferred.
- Ability to communicate effectively in a collaborative work environment utilizing various technologies such as telephone, computer, web, voice, teleconferencing, e-mail, etc.
- Ability to stand and sit for long periods and perform tasks that require bending, stooping, kneeling, bending, twisting, crouching, climbing, reaching, standing, sitting, carrying, walking, pushing, pulling, lifting, and grasping.
Salary Range: $90,000 - $120,000 annually
