Job Summary:
We are seeking a dedicated Mental Health Administrative Assistant to support our mental health practice with daily administrative and clerical tasks. The ideal candidate will ensure smooth office operations, maintain patient records, handle scheduling, and assist mental health professionals with non-clinical duties. This role requires strong organizational skills, discretion, and an understanding of mental health services.
Key Responsibilities:
? Front Desk & Reception: Greet clients, answer calls, schedule appointments, and manage inquiries professionally and compassionately.
? Patient Scheduling & Coordination: Organize therapist schedules, confirm appointments, and coordinate with clients for follow-ups.
? Medical Records & Documentation: Maintain and update patient files, ensuring confidentiality and compliance with HIPAA regulations.
? Billing & Insurance Processing: Assist with insurance verification, claims processing, and invoicing for mental health services.
? Administrative Support: Prepare reports, draft correspondence, and assist with office management tasks.
? Compliance & Confidentiality: Ensure adherence to state mental health regulations and Medicaid requirementswhen handling client data.
? Office Supply & Equipment Management: Order and track office supplies, manage vendor relationships, and support a well-functioning workspace.
? Team Assistance: Support mental health professionals with paperwork, meeting preparations, and other clerical duties as needed.
Required Qualifications:
? Education: High school diploma or GED required; Associate’s or Bachelor’s degree in Business Administration, Healthcare Administration, or related field preferred.
? Experience: 1–3 years of administrative experience, preferably in a mental health, healthcare, or medical office setting.
? Technical Skills: Proficiency in Microsoft Office (Word, Excel, Outlook), Google Suite, and electronic health record (EHR) systems (e.g., TherapyNotes, SimplePractice).
? Communication Skills: Strong verbal and written communication skills, with the ability to interact professionally with clients, therapists, and healthcare professionals.
? Organizational & Time Management Skills: Ability to multitask, prioritize, and manage sensitive information with discretion.
? Knowledge of HIPAA & Medicaid Regulations: Understanding of patient confidentiality, privacy laws, and billing procedures.
Preferred Qualifications:
? Prior experience working in a mental health clinic, counseling center, or social services organization.
? Familiarity with insurance billing, Medicaid, or private pay client processing.
? Experience handling sensitive client interactions with empathy and professionalism.
