Duties And Responsibilities
- Compile, type and file all necessary program-specific reports, forms, records, individualized plans, documentation sheets and other related materials
- Notify all participants of case review meetings, compiling and mailing out reports to parents/guardians and school/day programs
- Provide weekly reporting to QIDPs regarding billable data collection and frequencies of completion
- Handle all the secretarial requirements for meeting minutes and correspondence generated by the Individualized Residential Alternative (IRA) program staff
- Regularly purge older documents from consumer charts and files in historical files and/or scan pre-identified historical documents for electronic storage with a pre-determined labeling convention and ensuring the records are sent out to the scanning vendor
- Scan/upload required documents in electronic record software
- Maintain and update phone and mailing lists for residents and employees
- Assure that outgoing mail is deposited
- Enter dates into the training platform for staff completing in-services held during team meetings
- Arrange pick-up for recycling bins containing confidential documents
- Troubleshoot and/or report any computer, copier or other machine issues that may occur and follow through to ensure the problem gets resolved
- Place monthly supply orders as needed
- type all reports, forms, records, etc. as requested
- Maintain "super-user" status for electronic documentation software (PrecisionCare) by attending various meetings/trainings, supporting staff users, entering data, etc.
- Interface with people in person and on the telephone in a responsive and appropriate manner with accurately recorded phone messages and carry out certain public relation functions as requested
- Arrange for appointments, meeting rooms, luncheons and travel arrangements as requested
- Other duties as assigned
- High School Diploma or GED
- Must be able to type a minimum of 55-60 words per minute and produce errorless documents
- Ability to read, write, speak and understand English including interpreting documents such as safety rules, procedure manuals and operating/maintenance instructions
- Knowledge of word processing and computer equipment
