Maryland Masonic Homes, a premier Continuing Care retirement Community (CCRC) nestled in the rolling hills of Hunt Valley, has an exciting opportunity for full-time MDS Coordinator reporting directly to the Executive Director, NHA.
Maryland Masonic Homes first opened in 1934, and the community was an infirmary and dormitory for Master Masons and their families. Today, Maryland Masonic Homes is a Continuing Care Retirement Community available to the public with 31 Independent Living units, 70 Assisted Living units, and 88 healthcare beds.
The MDS Coordinator will be an experienced Registered Nurse (RN) or Licensed Practical Nurse (LPN) with extensive knowledge in MDS. The successful candidate will be detail-oriented leader who is capable of collaborating with an interdisciplinary team and managing schedules. This candidate will be an excellent communicator, who works cooperatively as a member of team, is flexible and decisive, and is able to respond efficiently in high-pressure situations and complete work in a timely, accurate manner. The MDS Coordinator oversees and facilitates the completion of resident assessments at the facility. The candidate will be responsible for adequately assessing nursing residents needs, and coordinating personalized, resident-driven care based on those assessments. Throughout the assessment and while planning care, the candidate will ensure compliance with Federal, State and CMS regulations.
- Must be a licensed RN or LPN in State of MD
- AA or BSN strongly desired
- Must have a min of 4- 5 years of experience as a MDS Coordinator in a long-term care setting
Major Duties and Responsibilities:
Essential Duties/Major Accountabilities:
Executive Support
- Prepares, revises and maintains confidential and complex statistical and management reports. Screens calls, often referring to established policies in answering inquiries, or referring call and concerns to appropriate sources.
- Provide administrative support in supply orders, classroom/space calendar management, take minutes for meetings, etc.
- Provides assistance on a day-to-day basis to the Executive Director including screening calls, typing, filing, data entry, taking messages, and making appointments for the Executive Director.
- Responsible for keeping and distributing minutes from daily morning meetings as well as other meetings as necessary.
- Responsible for maintaining and updating the facility Licensure and Agreement manual.
- Develops systematic facility wide process for monitoring master policy and procedure manuals and ensuring Administration policy(new and revised) are incorporated to ensure compliance.
- Responsible for Regulatory Compliance: management of concern logs, self-report logs.
- Responsible for Credentialing of new licensed professionals.
- Responsible to compile and present accurate and complete monthly and quarterly Board reports to the ED and the governing body in a timely manner.
- Responsible for the organization of the Mailroom; maintaining the copier and postal machine, as necessary.
- Documents and contacts appropriate Lodges when residents arrive at MMH, are hospitalized or pass away.
- Provides assistance to residents who come to administration with questions and/or concerns.
- Responsible for ordering flowers through contracted vendor while staying within the allotted monthly budget.
- General oversight of all aspects of the Administration Office ensuring the area is neat, safe and in always working order. When necessary, placing work orders and following up to ensure work is completed.
- Provides back up to the Business Office and the Admissions Department and assists with tours, mailings, and other administrative functions as needed.
- Attends and participates in continuing educational programs.
- Attends and/or sits on committees as directed by the Executive Director
- Maintains strictest confidentiality; adheres to all HIPPA guidelines and regulations,
Medical Billing
- Responsible for preparing Medicare Part A, Medicare Part B, and Third Party Insurance billing. Responsible for organizing Medicare appeals and all correspondence for Medicare and insurance issues.
- Audits claims for completeness and accuracy prior to submitting to ensure clean claims.
- Electronically transmits claims for Medicare billing each month timely and accurately.
- Maintains Medicare Logs and other Cost Reports related schedules including preparation of Credit Balance Report.
- Creates and submits coinsurance claims with EOBs attached once Medicare pays.
- Consistently displays professionalism and promptness in dealing with residents, responsible parties, other departments, and regulatory entities when resolving billing issues.
- Ensures all returned claims are reviewed and corrected on a daily basis.
- Recognize problem accounts and notify Executive Director to assist in problem solving.
- Monitors Accounts Receivable for unpaid claims and follows up with phone calls, contacting insurance companies to work through denials, etc. in accordance with collection polices.
- Generates total billing figures and balances to the census.
- Prepares monthly explanations of accounts over 60 days past due for Executive Assistant. Takes appropriate action to collect all monies owed to Maryland Masonic Homes, and keeps Executive Assistant informed of any collection problems.
- Creates and implement policies and procedures for all aspects of Medicare billing.
Central Supply Oversight
- Provides supervisory oversight to the central supply staff to ensure pricing, analyzes price proposals, and presents proposals to the ED.
- Works with central supply and vendors to analyze supply usage and determine target inventory level and reorder points.
- Maintains a reference of procurement procedures and current standards and regulations.
- Ensures that Central Supply staff allocates supplies to the appropriate departments to ensure the expense is charged for equipment or supplies.
- Handles shipping errors and returns of damaged products.
- Prepares requisitions, vouchers, purchase orders, and other standard office forms and controls as required.
- Ensures that appropriate coverage is available for Central Supply
- Ensure TELS system is utilized by the Maintenance person, as assigned to The Homes.
- Processes requisitions from department for routine supplies and ensures that all nursing supplies are approved by the DON or ED.
- Ensures that supplies and equipment are properly maintained & stored.
- Maintains, audits and organizes storage area(s).
- Conduct end of the year inventory for accounting and auditors.
- Checks invoices, purchase orders, packing slips with incoming orders.
- Ensures inventory is updated as required.
- Makes written & oral reports/recommendations concerning procurement procedures.
- Handle vendor relations and payments to vendors.
- Provide statistical reports for a variety of data as needed.
- Maintain the confidentiality of all resident care information including protected health information.
