The main purpose of this position is to provide administrative support to the Branch’s Chiefs, Due Process Specialists, and the Education Program Specialists in the Family Support and Dispute Resolution Branch. Entering, updating, and verifying information in the database. Filing of cases and assisting with correspondence. Provides constituents with information in regard to MSDE’s dispute resolution and procedures. Refers necessary calls to the Family Support team when families require assistance with a multitude of issues concerning the education of students with disabilities. This includes working with highly confidential and sensitive information, which is time-sensitive. It requires a well-organized and skilled individual with excellent computer, phone, and filing abilities.Due Process and Mediations:

Experience: Four years performing secretarial work or clerical work involving typing duties.

Records
- Data entry of administrative requests and completed due process hearing cases.
- Assists in maintaining a comprehensive filing system for all due process hearings and mediations.
- Assists in compiling records for submission to federal and State courts when appeals occur.
- Assists in compiling information within the database to run reports at staff request.
- Assists with preparation and dissemination of quarterly administrative due process hearing reports.
- Assists with proofreading and preparation of redacted OAH decisions to be placed on Department’s website.
- Coordinates relocation of administrative records annually.
- Coordinates destruction of aged records.
- Assists with finalizing correspondence and reports regarding administrative hearings and public information requests, including proofreading to ensure they meet agency standards.
- Assists with ensuring mailing of correspondence and distribution of copies to appropriate Division staff in a timely fashion.
- Assists with finalizing correspondence including proofreading to ensure they are grammatically correct.
- Assists with finalizing, proofreading, and filing of all state complaint corrective action closing letters.
- Orders of supplies and other materials for the Branch and maintaining the related records.
- Reconciles credit card statements for purchases made and entering invoices on FMIS for payment.
- Answers telephones, responds to general requests, and directs calls to appropriate staff.
- Enters data regarding complaints into the Branch’s database.
- Maintains comprehensive filing system for complaints.
- Assists with complaint tracking log.
Experience: Four years performing secretarial work or clerical work involving typing duties.
Notes
- Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.
- Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.
- Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.
