POSITION SUMMARY:
Manage records and provide clerical support for the ECHS Guidance Department.
ESSENTIAL FUNCTIONS:
- Enroll and withdraw students according to district and building procedures; for example, request and transfer records, update student profiles, notify transportation, assign lockers.
- Maintain the guidance office records; for example, student schedules, grade reports, transcripts and test records.
- Enter student data into the records management system, with particular attention to the Ohio Proficiency test information.
- Assist with the Proficiency and ASVAB testing programs by performing activities such as scheduling rooms, proctoring, preparing and packaging materials.
- Run grade reports and other lists requested by the Guidance Counselors or administrators.
- Train and assist students in the use of the career and college information computer system.
- Assist with the development of newsletters, bulletins and other communication devices.
- Supply records, as requested and according to district procedures, to students, parents, colleges, employers, agencies, and institutions.
- Keep student files, including confidential files and health records, current and well organized.
- Schedule appointments for the Guidance Counselors.
- Process student activities such as college visitations, college entrance exams, correspondence tests and shadowing appointments.
- Prepare requisitions for the Guidance office.
- Maintain the confidentiality of information that is not public domain.
- Participate in professional development activities as assigned.
- Maintain an appropriate personal appearance.
- Observe all safety and health regulations of the school district.
- Serve as a role model in the practice of ethical principles, responsible behavior and democratic values.
- Perform other duties as assigned by the Guidance Counselors or the Principal.
- High School diploma.
- Post high school education preferred.
- Experience with computer programming, data entry, word processing, spread sheet and presentation data bases.
- Alternate to these qualifications as the Superintendent and/or Board of Education may find appropriate.
- Proven knowledge in Microsoft Office - Excel and Word, as well as, Google.
- Well-developed skills in word processing, spread sheet data base and presentation data base, preferably Microsoft Word, Excel and PowerPoint.
- Knowledge of the school district’s student management database.
- Ability to work cooperatively with all staff and to interact with staff, students and the public in a positive manner.
- Ability to perform tasks requiring high accuracy and close attention to detail.

- Other office machines and educational equipment.
- Potential exposure to blood or other body fluids.
- Occasional operation of a vehicle in inclement weather.
- Regular requirement to sit, stand, walk, talk, hear, see, read, reach with hands and arms, stoop, crouch, and kneel.
- Occasional requirement to lift, carry, push and pull various items; for example, equipment and supplies, up to 25 lbs.

- Length of Employment: One Year Limited Contract
