Job Description: Provide administrative support to the Principal, Assistant Principal, 45 staff members, 275( /-) students and other school/SAU personnel including correspondence, reports, spreadsheets, publications and PowerPoint presentations. Ability to prioritize tasks and flexibility to shift assignments at any given time. Front line communication links to parents and teachers. Works collaboratively with other office staff.
Qualifications: Excellent communication skills; both verbal and written. Extremely proficient in Microsoft Office Suite and Google Based Technology; Experienced in handling financial documents, especially budgets and purchase orders; Flexible and adaptable to manage varying tasks simultaneously while ensuring deadlines are met. Attention to detail is a requisite skill. Clerical and bookkeeping experience preferred.

Performance Responsibilities:
- Provide budget documentation to teachers with their allowance for student/desk supplies and collect completed requests checking for dollar accuracy prior to processing Purchase Orders. Create, place, distribute and pay all purchase orders in Infinite Visions for staff as well as ensuring BMS office supplies and general school supplies (Paper/Laminator Film,etc.) are maintained
- Track all orders ensuring fulfillment/delivery of orders before making payments. Resolve any and all discrepancies in invoicing
- Track accounts in accounting software, ensuring monies are properly expended without overages.
- Maintain Federal Grant Funds - creating Purchase Orders with appropriate backup documentation and closely working with the SAU
- Assist in the budget process; compile information and prepare documentation for the middle school budget submission to the SAU/School Board working closely with the Principal
- Create PowerSchool reports as needed such as requests for student enrollment and information for functions such as, School Photo Day and ongoing State Reporting
- Store grades; print and disseminate Report Cards. Work closely with the principal, teachers and the technology department to amend/clarify Standard Based Report Cards.
- Maintain integrity of Power School by checking all student information is accurately entered
- Ensure all student data is accurately reported to I4SEE for information to be transferred to the TIDE system for NH State Testing
- Assist Principal with completion of state reports such as staffing, Civil Rights Data Collection, etc.
- Maintain ongoing activity with Student Activity Accounts through an EXCEL spreadsheet and backup documentation for submittals of monthly reconciliations of the BMS bank account to the SAU Business Administrator and for compilation of year-end data for submission to auditors
- Schedule all formal observations with the Staff for the Principal and Assistant Principal
- Organize and manage school picture day and school picture retake day including assistance during this activity to control flow of students and ensure all students/classes/staff are photographed
- Maintain and Coordinate the Website (Thrillshare)
- Help with registration processes for new, incoming students into PowerSchool as well as transferring students out of school as backup for other office administrative assistants
- Maintain and schedule all meetings in the google calendar for the Principal
- Maintain all printers in the school
- Manage onboarding of new staff
- Create and print all first day paperwork for staff
- Cover all lunches, vacations, or emergencies at the Main Office reception desk
- Answer and direct all phone calls with tact and diplomacy
- Implement all emergency and safety guidelines for use during situations such as fire drills; lockdowns and bomb threats
- Call and schedule all Substitutes at Boynton during working hours
- Collect and record all time cards for Substitutes and Paraprofessionals as needed
- Assist the Principal on Organizing and managing inhouse PD Days
- Provide general support to all staff and parent requests, helping out wherever needed
