Opportunity: Office Administrator for MHR Management, LLC (a full-time salaried position with benefits)

Job Summary: The Office Administrator is a multifaceted role critical to ensuring efficient office operations, managing key administrative functions, and supporting a variety of financial and organizational processes. The ideal candidate is a highly motivated individual with exceptional attention to detail, strong organizational skills, and a proactive mindset. This role offers the opportunity to work closely with cross-functional teams, ensuring seamless communication and coordination across the organization.

By combining administrative expertise with a collaborative approach, this individual will play an integral role in maintaining operational excellence and contributing to the company’s long-term success. With proven performance and demonstrated initiative, the Office Administrator will have the opportunity to grow into more advanced responsibilities, including business analyst and project management workstreams, thereby expanding their impact and role within the organization.

As an Office Administrator, your primary responsibilities would be to:

  • Manage and maintain files related to Sonic Licenses and Area Development Agreements, including corresponding with Sonic personnel and drafting key documents;
  • Assist with accounts payable, accounts receivable, monthly bank reconciliations, and preparation of financial reports using QuickBooks (prior experience using QuickBooks is not a requirement of this job) and related tools;
  • Provide general administrative support to team members, including maintaining office supplies, answering phones, distributing mail, and provisioning office kitchen needs;
  • Support administrative needs related to loan documents, leases, tax filings, licensing, and partnership assignments;
  • Assist with internal and external systems designed to manage personal property and real estate ad valorem tax compliance services;
  • Compile and organize monthly business and financial data for partner store performance, assisting with monthly newsletter and other correspondence for distribution to key external stakeholders;
  • Assist with project management tasks related to development, construction, operations, and financial compliance; and
  • Communicate with partners on matters involving real estate, leases, code enforcement, and drive-in operations.

Qualifications:

  • Excellent interpersonal and communication skills – both verbal and written
  • Exceptional organizational, time management, and record-keeping skills, with strong attention to detail and the ability to efficiently manage multiple tasks while meeting deadlines
  • Ability to function well in a high-paced team environment
  • Strong analytical and problem-solving skills
  • Proficient in Microsoft Office Suite, especially Microsoft Excel
  • Ability to maintain confidentiality and to exercise discretion and good judgment

Additional Desired Qualifications (preferred, but not required):

  • Bachelor’s degree in related field
  • At least 3 years of related experience
  • Experience with or willing to learn and implement AI tools (e.g., ChatGPT) for enhanced productivity
  • Experience with or willing to learn how to use QuickBooks
  • Experience with or willing to learn how to use Microsoft Publisher

Job Type: Full-time

Pay: $60,000.00 - $70,000.00 per year
