Aggregate Source License Program Coordinator (Program Coordinator II)

Position Summary

Applicants for this position coordinate and monitor assigned program activities; review and analyze data concerning agency programs; provide technical assistance and advice to agency personnel and others; respond to inquiries; maintain liaison with various agencies; and perform related work as required. The basic purpose of this work is to coordinate, monitor, develop and implement programs for an assigned agency.

Duties and Responsibilities

  • In coordination with the Materials Evaluation and Research Engineer, the Aggregate Source License Program Coordinator will:
  • Track aggregate source license applications and renewals.
  • Review all submitted license applications for completeness; communicate with applicants as needed with regard to missing or incomplete application documentation.
  • Establish records management guidelines for the pyrrhotite evaluation program.
  • Draft letters to license applicants reporting approval or denial of licensure.
  • Generate license certificates for approved license applications.
  • Develop and manage recurring program reports.
  • Develop and maintain mass.gov websites related to the aggregate source license program, including a site listing approved aggregate sources, and a site with application instructions and general program information.
  • Act as administrator of the ePlace Portal online license application in coordination with the Executive Office of Technology Services and Security (EOTSS).
  • Provide backup to other Research and Materials Section Program Coordinators for SharePoint site administration, training room management, IT equipment troubleshooting, special project management, or other duties as assigned.

Qualifications Required at Hire

  • Knowledge of SharePoint document libraries and administration.
  • Knowledge of web site development and management. Experience with the Mass.gov content management system (CMS) a plus.
  • Ability to self-motivate, schedule, and work independently managing time and resources.
  • Ability to write concisely to express thoughts clearly and to develop ideas in logical sequence.
  • Ability to adjust to varying or changing situations to meet emergency or changing program requirements.
  • Ability to maintain accurate records.
  • Ability to understand business rules and workflows.
  • Ability to understand, explain and apply the laws, rules, regulations, policies, and procedures governing the assigned unit activities.
  • Ability to analyze and determine the applicability of data, to draw conclusions and make appropriate recommendations.
  • Ability to work collegially in a dynamic team environment.
  • Ability to lead project initiatives with cross-functional teams. Ability to gather information by examining records and documents and by questioning individuals.
  • Ability to determine proper format and procedure for assembling items of information.
  • Knowledge of work simplification methods; Knowledge of the methods of general report writing.

Minimum Entrance Requirements

Applicants must have at least (A) three years of full time, or equivalent part-time, professional, administrative or managerial experience in business administration, business management or public administration the major duties of which involved program management, program administration, program coordination, program planning and/or program analysis, or (B) any equivalent combination of the required experience and the substitutions below.
Substitutions
I. A Bachelor's degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required experience.*
II. A Graduate degree with a major in business administration, business management or public administration may be substituted for the required experience.*
III. A Bachelor's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*
