What are the responsibilities and job description for the Intake Coordinator position at Massachusetts Center for Adolescent Wellness?
Massachusetts Center for Adolescent Wellness (MCAW) is a mental health outpatient program that offers therapy and support to adolescents between the ages of 13 to 17 years old and their families.
We offer treatment for a wide range of mental health disorders and substance abuse disorders. Evidence-based therapies are combined with holistic methods to provide the best care for teens and their families.
We are seeking an Intake Coordinator to handle patient admissions by gathering and recording patient and payment responsibility information; answering questions; providing program services information. Our ideal candidate will have 1-2 years' experience with patient admissions in a health care setting, as well as working with adolescents and their families and have an understanding of continuum of care.
The Intake Coordinator works closely with the clinical team, admissions team, and business development team and works well in a fast-paced, collaborative environment.
Essential Job Functions:
- Greets clients and families who arrive on site
- Answers facility phone calls; provides resolution to the family member or referral source. If outside scope, ensures follow up is completed by the appropriate department.
- Arranges Uber health for clients who require it for transportation
- Completes all Medical Records requests including those from legal, guests, and referral sources and ensure requests are in compliance with HIPPA
- Faxes discharges to providers at therapist request
- Assists therapists with scanning de-escalation forms and TX agreement into SCANNED DOCS in the charts
- Send out intake schedule to clinical teams in advance of appointments
- Ensures all ROIS and consents are signed, locked and completed
- Completes consents and contacts in their entirety and ensures contact information is accurate
- Inform team that ROIs are completed and referent is completed or not
- Maintains a par level of office supplies – water, paper goods, ink, etc.
- Receives and assigns for daily deliveries from Amazon, FedEx, and UPS
- Ships packages at Fed Ex, medical records
- Open mail and distribute to the correct departments
- Ensure payments are scanned to Business Office same day
- Performs other related duties as assigned.
- Cross trained as a BHT
- Adheres to professional standards, facility policies and procedures, federal, state, and local requirements.
All other job duties as assigned by Director of Outpatient Services.
