What are the responsibilities and job description for the Assistant Director of Visits & Events position at Massachusetts College of Pharmacy and Health Sciences?
Massachusetts College of Pharmacy and Health Sciences is seeking a highly organized and detail-oriented individual to join our Admissions team as an Assistant Director of Visits and Events. In this role, the Assistant Director of Visits and Events will not only serve as the first point of contact for prospective students and visitors, but also play a key role in planning and executing events that support recruitment efforts. This individual will be responsible for providing excellent customer service during campus visits, tracking visit data, and coordinating events designed to engage prospective students and their families.
• Visitor Engagement 50%
- Provide exceptional customer service as the first point of contact for all prospective students, families, and campus partners.
- Deliver overall assistance through a variety of service channels including in person visitors, phone, email, and text message.
- Schedule prospective and admitted students for in-person or virtual offerings, along with providing information on new student application procedures with regard to admissions, financial aid, housing, student life, and special programs.
- Ability to coordinate meetings and special events
- Respond and handle all incoming email inquiries to the visitor email box.
- Ensure the Admission Office is physically prepared every day to welcome visitors, to ensure that the space is clean, organized, and well-stocked with snacks, water, coffee, and visit materials.
- Provide administrative support in the Admissions office, including preparing and organizing materials for campus tours and visitor presentations.
- Maintain a welcoming, well-organized visitor area, ensuring that all informational materials are up-to-date and available to visitors.
- Assist with follow-up communications with prospective students after campus visits or events, ensuring that they receive relevant information and stay engaged in the admissions process.
- Visit Data Tracking & Reporting 25%
- Track and log all campus visits and events, recording relevant visitor information such as contact details and visit preferences.
- Generate reports on visit statistics and engagement, providing insights that help improve recruitment strategies.
- Offer recommendations based on visit data to enhance the visitor experience and streamline the scheduling process.
- Event Planning & Coordination 25%
- Assist in the planning, organizing, and execution of admissions-related events, including open houses, information sessions, recruitment fairs, and prospective student days.
- Coordinate event logistics such as venue setup, catering, signage, registration, and communication with participants.
- Work with the marketing team to prepare event materials, such as informational packets, flyers, and event agendas.
- Manage event registration and RSVP lists, ensuring accurate guest counts and smooth check-in processes.
- Planning and participating in all signature admission event, including both on campus and virtual events. This would include Open Houses, Admitted Student Days, yield receptions, and other various admission events.
- Provide on-the-day event support, ensuring all aspects of the event run smoothly and attendees have a positive experience.
Requirements
Required:
• Bachelor’s degree
• Three years or more of Admission experience.
• Excellent communication and presentation skills
• Strong interpersonal skills
• Ability to communicate and market programs across all campuses
• Ability to work in a fast-paced environment, set priorities and meet deadlines
• Ability to thrive in a customer service role
• Ability to work evenings and weekends as needed
• Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment
Physical Requirements:
• Standing, sitting, manual dexterity, ability to move between offices and buildings
• Must have the ability to lift up to 20 lbs.
• Must be able to talk, listen and speak clearly on telephone
• Must be able to meet deadlines and perform well under pressure
• Must be able to be physically in attendance at designated worksite during scheduled work hours and to work some evenings, weekends, and holidays
• Normal range of vision and hearing (with or without correction)
