What are the responsibilities and job description for the Veterinary Receptionist position at Massapequa Pet Vet?

Massapequa Pet Vet is seeking a highly motivated, caring, dependable, and enthusiastic Veterinary Receptionist with a minimum of 2 years of client service experience to join our busy practice. Must excel in client satisfaction and patient care and have the ability to work well with others efficiently in a fast-paced environment. Our services include wellness exams, dentistry, surgery, radiology, and ultrasonography. Must be able to work evenings and/or Saturdays.

Responsibilities and Duties

  • Promptly, accurately, and professionally receive 100% of all incoming telephone calls and greet walk-in clients- being sure to engage them by name when possible (pet and/or client).
  • Checks in all patients for appointments.
  • Set up new clients over the phone making sure to request records from previous vets, phone number, and any secondary relevant information.
  • Record all conversations and take messages from clients, making sure to include the time of the call, and best phone number to reach them when returning their call. Conversations must be notated in the chart to ensure accuracy of the medical record.
  • Maintain patient files and the appointment schedule- following the rules as they are laid out in the manual for the different types of appointments and chart organization.
  • Be knowledgeable of preventatives and rebates that we offer including what is OTC and what is prescription only.
  • Prepare client invoices, collect and process payments including making change and processing credit cards (including Care Credit).
  • Make sure to give value added service before giving clients invoice pricing- meaning that each client should be given the details of their invoice prior to giving them the total price.
  • Follow established clinic policies and procedures when referring clients with complaints of acute symptoms- no medical advice to be given to clients unless directed by a Doctor.
  • Follow outline protocol for emergencies whether they call or walk into the facility.
  • Process client communication and payments for euthanasia and DOA patients.
  • Process requests for prescription renewal following established guidelines.
  • Prepare forms for the next day’s appointments, taking care to verify information against the computer to ensure accuracy at check in.
  • Handle client complaints and issues- involve coordinator/manager if complaints or issues cannot be resolved amicably.
  • Perform other duties as assigned.

Qualifications and Skills

  • Experience -A minimum of 2 years customer service experience in an office setting.
  • Time Management - Managing one's own time and the time of others.
  • Customer Service Oriented - Knowledge of principals and processes for providing customer services. Including but not limited to, making sure clients are not waiting too long to be seen or checked out.
  • Conflict Management - The ability to handle conflicts, disagreements or miscommunication issues in a professional, effective manner.
  • Flexibility - The ability to change schedules or priorities when needed.
  • Accountability - Taking responsibility for your own actions, as well as others.
  • Critical Thinking- The ability to use logic and reason to identify the strengths and weaknesses of alternative solutions, conclusion, or approaches to problems. Ability to think and perform well in a crisis situation.
  • Physical Requirement - Must be able to lift 35lbs- able to have physical contact with patients as required by greeter position. Must be able to be around animals without fear or hesitation, must be able to handle barking and other loud noises.

Job Type: Part-time

Pay: $17.00 - $22.00 per hour
