What are the responsibilities and job description for the Field Admin Supervisor position at MasTec Inc?
Responsible for overseeing a team of Site Admins by providing training and ongoing support. Individuals in this role are well versed in the duties, resources and systems utilized within the Site Admin position at the company and use their knowledge to mentor and coach other team members. This position will work closely with the HR Operations Manager to ensure that processes and procedures are standardized.
Responsibilities
- Supervise day-to-day operations of site admin department and staff
- Serve as the point of contact for Site Admins needing guidance and support
- Provide back-up coverage when Site Admins are out of office
- Lead Site Admin team meetings and participate in internal management meetings regarding Site Admin scope of work
- Hire, train, and evaluate Site Admin team, providing continual guidance and feedback on performance, taking corrective action when necessary
- Onboard new Site Admin team members, providing on the job training, remotely or in person, to quickly get them up to speed
- Provide ongoing training and mentorship to Site Admin team to ensure they are successfully completing daily, weekly, and monthly tasks
- Work with site leadership teams to ensure consistency, standardization, and compliance with policies and procedures.
- Develop training curriculum for Site Admin team as needed
- Complete audits to ensure I9’s processed by the Site Admin team are in compliance, cases are closed, and employees are authorized to work
- Make recommendations on pay, responsibility and title changes for Site Admin team and process system changes accordingly
- Partner with Operations to coordinate Site Admin placements
- Partner with HR Operations Manager to create and maintain SOPs for site admin team, identify opportunities for improvement and streamline processes and procedures within the field administration function
- Other duties as assigned
Qualifications
EDUCATION AND WORK EXPERIENCE REQUIREMENTS:
- 3-5 years’ experience in administrative support position
- Previous Site Admin experience within construction preferred
- Previous Union experinece preferred
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
- Take reasonable care of your own and others’ health and safety and of those who may be affected by the day-to-day delivery of this role by taking personal responsibility for working toward the Company’s Zero Injury principles
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint, Teams etc.)
- Respond effectively to the most sensitive inquiries or complaints
- Ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions and decimals
- Ability to solve practical problems and deal with a variety of concrete variables in situations
- Interpret a variety of instructions furnished in written, oral, diagram or schedule form

- When visiting jobsites, the work environment involves some exposure to hazards or physical risks, which require following basic safety precautions
- This work environment may involve moderate exposure to unusual elements, such as extreme temperatures, dirt, dust, fumes, smoke, unpleasant odors and/or loud noises
