Job Summary :

A Service Writer Representative is responsible for acting as the main point of contact between customers and the service department.

Essential Functions :

Listen to customers' concerns and gather detailed information about their service needs.

Explain service options, costs, and timelines to customers.

Provide recommendations for additional services based on vehicle inspection results.

Create and manage work orders for service requests.

Coordinate with the service team to ensure timely completion of work.

Schedule appointments and manage the service calendar to optimize workflow.

Provide accurate estimates for services, repairs, and parts.

Liaise between customers and technicians to ensure clear communication of issues and solutions.

Ensure all necessary paperwork is completed for warranty and service contracts.

Process payments and ensure customer satisfaction at the end of the service.

Maintain accurate records of customer interactions, service orders, and payments.

Handle customer complaints or concerns with professionalism and empathy.

Follow up with customers after service to ensure satisfaction and encourage repeat business.

Work Environment :

This job operates in a service center, auto dealership or repair shop.

This role routinely uses standard equipment.

Physical Demands :

Prolonged periods sitting at a desk and working on a computer.

It may involve some physical activity, such as walking around the service area or occasionally assisting with vehicle inspections.

Required Education / Experience / Certifications :

High school diploma or equivalent; some positions may prefer additional technical training or certifications.

Minimum of 1 year of experience in customer service, sales, or a related field.
