About the position:
Seeking a highly organized, proactive, and detail-oriented individual to provide administrative support to the Chief Executive Officer and company’s Sales initiative. This is a full-time, permanent position in our Westlake office. This person joins a team of talented attorneys and subject matter experts who work collaboratively with software engineers, product managers, and usability experts.
Responsibilities:
- Create, organize, and maintain a database of contacts, organizations, and events for the company’s current and prospective clients
- Provide weekly, monthly, quarterly updates on prospective client engagement and initiatives
- Assist in the planning and coordination of tradeshow and conference attendance and registration
- Assist with scheduling and supporting client demos
- Prepare, edit, and proofread proposals, bid documents and marketing materials and responses to government bids (RFPs - Request for Proposals)
- Provide administrative support to sales leadership such as scheduling meetings and managing project timelines
- Conduct research and analysis to identify potential clients, document findings, and present to CEO
- Assist the team with administrative assignments as needed
- Work cross-functionally to ensure seamless delivery of services and maintain exceptional client satisfaction
Who we want on our team:
We seek a motivated self-starter who possesses the following qualifications:
- Bachelor’s degree
- At least 3 years of professional office administrative experience supporting an executive level manager or team
- Highly organized and detail oriented with professional presentation ability
- Outstanding written and verbal communication skills with ability to interact with all levels of an organization
- Proficiency with Microsoft Office products especially Excel, Outlook, Teams, and PowerPoint
- Able to work independently or in a team
- Able to meet deadlines and work well under pressure
- Able to organize and manage multiple tasks in a fast-paced, ever-changing environment
- Adaptable and willing to take on new responsibilities as team goals evolve
- An enthusiastic, can-do, results-oriented, collaborative attitude
