Description
We are seeking a detail-oriented and organized Billing Specialist to manage the billing, invoicing and reporting for a top customer account. This role involves handling all aspects of billing, from generating invoices to resolving billing discrepancies, maintaining financial records, and supporting the Finance Team in financial reporting and analysis. The ideal candidate will have strong analytical skills, ability to use the Microsoft Office Suite of products, knowledge of accounting principles, and resolve discrepancies effectively.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, but are not limited to:

Prepare, Generate, and Distribute Invoices:
Accurately prepare and issue invoices to clients in a timely manner, ensuring compliance with all existing contracts and agreements. -
Maintain Customer Documentation:
Keep detailed records within customer portals and highlight any process or billing issues to the supervisor for prompt resolution. -
Investigate and Resolve Billing Discrepancies:
Proactively address and resolve billing issues or disputes, working closely with both internal teams and the external customer to ensure proper handling and resolution. -
Follow-Up on Overdue Accounts:
Monitor overdue accounts and follow up with clients to ensure timely payments, contributing to the reduction of delinquency rates and maintaining healthy cash flow. -
Assist with Reporting Requirements:
Support weekly and monthly client reporting, providing accurate data related to invoicing, payments, and outstanding balances. -
Maintain and Update Customer Records:
Ensure customer billing information in the company’s financial system is kept up-to-date and accurate. -
Customer Communication:
Address customer inquiries regarding invoices, payments, or account statuses through effective and professional communication. -
Collaboration with Internal Departments:
Work closely with internal teams, including Sales and Customer Support, to ensure smooth communication, prompt issue resolution, and seamless billing processes.
EDUCATION AND/OR EXPERIENCE:

Strong computer skills with knowledge of Microsoft applications; NetSuite knowledge a plus.

Associate or bachelor’s degree in accounting, finance, or related field preferred.

1-3 years of experience in billing, accounts receivable, or a similar finance-related role

Ability to work independently.

Detail Oriented.

Strong communications skills are both written and verbal.
