The Office Administrator manages a variety of general office activities as needed.

JOB RESPONSIBILITIES
Procore software - Administrator for Procore (Add projects and admin duties such as upload schedules, drawings, project photos, and other administrative duties.)
Assists with digital filing and various clerical functions around the office.
Supervises the maintenance of office equipment and reorder of office supplies when needed.
Composes and distributes general office memos and correspondence; Prepares, manages, and disburses office forms. Organize and develop meeting minutes, developing formal documents for clients, and using AIA software to create documents.
Provide document presentation assistance with Microsoft suite and Adobe suite. (Such as graphics, photo editing, etc.)
Cross training with Finance Admin. This includes Assists with accounts receivable and payable duties such as billing, disbursements, expenses, and account reconciliations.
Assist General Manager / Salesperson with sales coordination and administrative duties from general follow up, to coordination of sales calls, to organization of sales database, etc.
Acts as a receptionist by answering incoming phone calls and transferring or relaying messages.
Additional duties as assigned.
QUALIFICATIONS / REQUIREMENTS
Associate’s Degree in Office Administration, Business Management or related field.
Bachelor’s Degree preferred.
1 years progressive Administrative experience; or equivalent combination of education and experience.
3 years in a leadership role.
High degree of proficiency in MS Office Suite, Outlook Adobe & Internet applications.
Ability to develop and maintain collaborative relationships with peers and colleagues across the organization, as well as, internal and external clients.
Ability to work well autonomously and within a team in a fast-paced and deadline-oriented environment.
Ability to work with and influence peers and management.
Self-motivated with critical attention to detail, deadlines and reporting.
Ability to work overtime as necessary.

Regularly required to stand; walk; sit; and talk, hear and see.
Occasionally lift and / or move up to 10 pounds.
