The Office Manager will be accountable for the daily logistics activities, inventory control management, office management, and rentals support for the Flexpipe Depot in Midland, TX. In addition, the incumbent will provide guidance to support the office administrator and maintain control requirements for the depot. The position will work to maintain the weekly shipping schedule, schedule pickups with transportation companies and coordinate confirmations with customers and contractors to insure shipment timing. Also ensure that shipments are complete in system to ship and manage the paperwork required for the shipping department. Strong multi-tasking skills and excellent attention to detail are qualities integral in this position. The ability to provide insight into policies and procedures along with dedication to safety, quality and success are important for the continuous improvement of the US Flexpipe Field Service department and Mattr.

Responsibilities:
Logistics:
- Provides oversight for logistics activities, and provides guidance to the office administrator
- Booking trucks and forklifts
- Works with Project Coordinators, Planning, Shipping, as well as Sales to ensure complete orders are shipped on time.
- Troubleshooting trucking issues (ie contact not answering, no one answering, forklift not big enough, can’t find location, etc)
- Create POs and update as needed throughout change process
- Ensure signed waybills are returned from trucking company so the customer can be billed
- FedEx/UPS booking
- Paperwork follows through
- Support Vendor set up and review, vendor invoice discrepancy and review
- Participate/Facilitate in the morning and afternoon warehouse/PC meetings
- First point of contact for all vendor/trucking companies
- Process all inventory shipments and receiving paperwork
- Process Return Material Authorization (RMA)’s (Reel Returns and Scrape Returns) in accordance with our terms and conditions (investigation may be required)
- Process Inventory movement in IFS
- Assist in Monthly Blind Cycle Counts (i.e. research discrepancies)
- Provide efficient customer service support when answering calls. Help with support and problem solving
- Become a customer touch point-by answering phones and helping the customer redirect to the right person
- Ensure common knowledge of materials and the company to adequately talk to customer on the phone.
- Build vendor and client relationships
- Office supplies, Filing, answering incoming calls, Redirecting incoming calls, PC/Logistics/Accounting Monthly meetings, Weekly Op’s calls, Paperwork process, management, and tracking
- Purchase request and purchase orders for supplies and equipment
- Plan and coordinate team events
- Support Management, Lead PC, PC’s, Depot Staff
- High School Diploma or GED
- 3 – 5 years of office manager experience
