Temporary Legal Talent Acquisition Assistant
A leading national law firm is seeking a Temporary Legal Talent Acquisition Assistant to support the recruitment efforts for law students and lateral hires across multiple U.S. offices. This role will provide administrative and operational support to the Legal Talent Acquisition team and ensure a seamless candidate experience. The ideal candidate is detail-oriented, highly organized, and has a strong ability to multitask in a fast-paced environment.
This position is based in San Francisco, CA, or Washington, DC and offers a hybrid work arrangement.
Key Responsibilities
Law Student Recruiting :
- Prepare and distribute interview materials and maintain candidate records.
- Organize, track, and maintain candidate information in the Applicant Tracking System (ATS).
- Send and track candidate communications, including invitations, rejections, and follow-ups.
- Coordinate interview logistics for virtual and in-person interviews.
- Monitor and collect candidate evaluations, sending follow-up reminders and compiling summaries for decision meetings.
- Assist in planning and executing on-campus recruitment (OCI) events, receptions, and follow-up meetings.
- Coordinate travel logistics for candidates as needed.
Summer Associate Program :
Maintain employment files and onboarding documentation for summer associates.Assist in scheduling and executing orientation sessions, including preparing training materials.Monitor completion of mid-summer and end-of-summer evaluations, sending reminders as needed.Maintain and update summer associate program calendars for recruiting team and attorneys.Process expense tracking and reimbursements related to summer associate events and activities.Lateral Legal Talent Acquisition :
Track and manage lateral candidate applications and submissions in the ATS.Maintain candidate files and update recruitment tracking reports.Assist in scheduling lateral interview rounds, ensuring smooth coordination with attorneys and hiring teams.Collect and compile lateral interview feedback and evaluations.Prepare offer packets and assist with onboarding new lateral hires.General Administrative Support :
Process invoices, reimbursements, and check requests related to recruiting activities.Assist in preparing statistical reports, presentations, and department-wide documentation.Coordinate logistics for departmental meetings and training sessions.Collaborate with HR, Finance, Professional Development, Diversity & Inclusion, Operations, IT, and Legal Support teams.Handle confidential and sensitive information with discretion and professionalism.Qualifications & Skills
Bachelor’s degree required.Prior experience in legal recruiting, HR, talent acquisition, or professional services is preferred.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Experience with Applicant Tracking Systems (ATS) is a plus.Strong ability to format, proofread, and prepare reports, memos, and presentations.Excellent organizational and time management skills.Strong attention to detail with the ability to handle multiple priorities.High level of confidentiality and discretion in handling sensitive information.Adaptability and problem-solving skills in a fast-paced, high-volume recruiting environment.Availability : Ability to work overtime as needed to meet hiring deadlines.Work Arrangement & Compensation
