Overview
We are seeking a highly motivated and organized individual to join our medical office team as an Assistant to the Medical Office Administrator. In this role, you will support the day-to-day operations of the office, ensuring smooth administrative functioning and assisting with various tasks related to patient care, office management, and overall office efficiency. This position has the possibility to grow into an Office Management position.
Key Responsibilities:
- Provide administrative support to the Medical Office Administrator, including scheduling meetings, managing calendars, and assisting with project management.
- Answer phone calls, direct inquiries, and assist with patient-related concerns in a professional and courteous manner.
- Overall provider schedule management including hospital call, answering service, appointment management, cancellations, etc.
- Assist with managing office schedules including staff, PTO,
- Assist in processing payroll biweekly and managing HR related documentation.
- Maintain and organize patient records, ensuring compliance with confidentiality and privacy laws (HIPAA).
- Help with overseeing medical billing and coding tasks, including verifying insurance information and calculating copays.
- Coordinate communication between patients and healthcare providers, ensuring accurate and timely relay of information. Acting as a liaison between patients and the practice, acting on behalf of the practice.
- Order and maintain office supplies, ensuring necessary equipment is available and functioning.
- Assist with general office duties such as filing, faxing, photocopying, and preparing documents.
- Help manage office finances, including tracking expenses, receipt/invoice management and assisting with billing processes.
- Prepare reports and assist with maintaining office performance metrics.
- Assist in creating a positive and welcoming environment for patients, ensuring excellent customer service and satisfaction.
- Ensure the office complies with all local regulations and healthcare requirements.
- Ensure appropriate task management in the office.
- Other duties as assigned by the Medical Office Administrator and Managing Physician.
Qualifications:
- Associate’s degree or equivalent required, Bachelor’s degree or equivalent in Business Administration or Healthcare Administration preferred; additional medical office administration coursework or certification is a plus.
- Two previous years of experience in a medical office or healthcare setting preferred but not required.
- Strong organizational skills with attention to detail.
- Excellent communication skills (verbal and written).
- Ability to work independently and as part of a team.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Dropbox, Gmail and familiarity with medical software.
- Knowledge of medical terminology and basic office procedures.
- Ability to handle sensitive patient information with discretion and maintain confidentiality.
- A positive, proactive attitude and a willingness to learn and adapt in a dynamic work environment.

Pay: $65,000.00 - $90,000.00 per year
