Position Overview:
We are seeking a dynamic individual to join our team as a Legal Administrative Paralegal. This role encompasses the responsibilities of having some basic paralegal skills and legal assistant prowess. This position requires a proactive and dedicated candidate who can thrive in a fast-paced legal environment. The ideal candidate will play a vital role in ensuring the smooth operation of our organization, providing comprehensive support to attorneys and staff.
Key Responsibilities:
Legal Research and Document Management: Conduct legal research to support attorneys in case preparation. Organize and maintain legal documents, ensuring accuracy, confidentiality, and proper filing in both electronic and physical systems.
Client Communication and Administrative Support: Act as a liaison between attorneys and clients, ensuring effective communication. Interact with clients, answer inquiries, and relay messages to attorneys with a focus on excellent customer service.
Calendar Management and Meeting Coordination: Manage attorneys' calendars, schedule appointments, court dates, and meetings. Arrange and coordinate meetings, conferences, and depositions, ensuring all logistics are in order.
Data Entry and File Maintenance: Accurately input and update data in case management software, legal databases, and spreadsheets. Organize and maintain physical and digital files, ensuring proper labeling and documentation.
Billing and Invoicing: Assist in tracking billable hours and expenses, preparing invoices, and maintaining accurate records. Prepare and review billing statements, track expenses, and assist with client billing processes.
Compliance and Client Intake: Assist with legal compliance matters and records retention requirements. Support new client intake procedures, ensuring collection and filing of necessary information and documentation.
Qualifications:
· Bachelor's degree and/or completion of a recognized paralegal program preferred.
· Previous experience in a legal or administrative role, preferably in a fast-paced environment.
· Strong organizational skills, attention to detail, and the ability to multitask efficiently.
· Excellent written and verbal communication skills.
· Proficiency in legal software, case management systems, and Microsoft Office suite.
· Knowledge of legal terminology and procedures is a plus.
