The Facilities Project Manager is responsible for managing and executing facilities-related projects, including building renovations, expansions, system installations, and general maintenance. They ensure that these projects are completed successfully by coordinating the efforts of contractors, vendors, internal teams, and other stakeholders, while adhering to budgetary constraints and timeline expectations. The Facilities Project Manager also ensures compliance with building codes, safety standards, and organizational requirements.
Salary Range: $100,000 - $120,000 per year
Requirements
Project Planning and Coordination:
- Develop comprehensive project plans that outline the scope, schedule, resources, and budget for facilities-related projects.
- Define project objectives and deliverables, ensuring alignment with business needs and organizational goals.
- Coordinate with internal teams, contractors, architects, engineers, and other stakeholders to ensure project objectives are understood and met.
Budget and Financial Management:
- Create and manage project budgets, ensuring resources are allocated appropriately and projects remain within financial constraints.
- Track and report project expenses, processing invoices and change orders, and ensuring timely payments.
- Provide regular financial updates to senior management, highlighting any variances and proposing corrective actions as necessary.
Vendor and Contractor Management:
- Source, negotiate, and select contractors, vendors, and suppliers for facilities projects.
- Manage relationships with contractors and suppliers, ensuring that work is completed according to specifications, timelines, and quality standards.
- Oversee contract negotiations and review terms, ensuring compliance with organizational policies and legal requirements.
Project Execution and Delivery:
- Oversee the day-to-day execution of projects, ensuring they stay on track with timelines and budgets.
- Regularly monitor project progress, ensuring milestones are met and problems are addressed promptly.
- Supervise contractors, vendors, and internal teams to ensure adherence to project specifications and safety regulations.
Quality Control and Compliance:
- Ensure all projects comply with relevant building codes, safety standards, environmental regulations, and organizational policies.
- Conduct regular inspections and quality checks during project execution to ensure standards are maintained.
- Ensure that all required permits and approvals are obtained before project commencement.
Risk Management and Problem Solving:
- Identify and manage potential project risks, including delays, cost overruns, and safety hazards.
- Develop and implement mitigation strategies to minimize risks and handle unforeseen challenges.
- Proactively address issues and conflicts as they arise, providing solutions that maintain project momentum.
Communication and Stakeholder Management:
- Serve as the primary point of contact for all stakeholders involved in facilities projects, including senior management, contractors, and external partners.
- Provide regular updates and status reports to leadership on the progress, budget, and any challenges encountered during the project.
- Coordinate and lead meetings with key stakeholders to discuss project progress, challenges, and decisions.
Safety and Environmental Compliance:
- Ensure that all projects are executed in accordance with health and safety regulations.
- Develop and enforce safety protocols and procedures for on-site workers, including personal protective equipment (PPE) and hazard mitigation strategies.
- Maintain compliance with environmental laws and sustainability goals for facilities-related projects.
Post-Project Review and Maintenance:
- Conduct post-project evaluations to ensure that the project meets all specified objectives and requirements.
- Ensure the smooth handover of completed projects to facilities management or operations teams for ongoing maintenance and support.
- Develop and maintain detailed project documentation for future reference and compliance purposes.
Qualifications:
- Education: Bachelor's degree in Facilities Management, Construction Management, Engineering, Architecture, or related field. Additional certifications in project management (e.g., PMP) or facilities management (e.g., FMP) are a plus.
- Experience: 5 years of experience in facilities project management, construction, or related fields. Proven track record of managing multiple projects simultaneously in a facilities setting.
- Skills:
- Strong organizational and project management skills, with the ability to manage multiple projects concurrently.
- Excellent communication and interpersonal skills to work with various stakeholders.
- In-depth knowledge of building codes, regulations, safety standards, and environmental guidelines.
- Proficiency in project management software (e.g., MS Project, Procore) and other relevant tools.
- Financial acumen to manage budgets, contracts, and project expenses.
- Certifications: PMP, LEED, FMP (Facility Management Professional), or other relevant certifications in facilities or project management are preferred.
